Two accounting references look identical but will not match

Investigate invisible characters and text-normalization differences without merging distinct customer, supplier or transaction identifiers.

Compare the stored values as well as their appearance

A payment reference copied from a portal can look identical to the invoice reference in a spreadsheet while containing different characters. Spaces at the ends, nonbreaking spaces, line breaks, and different character forms can interfere with an exact lookup. Preserve the original values and examine a failed pair before changing an entire column.

Confirm that both references belong to the same source account and business record. A visual match does not establish identity when two stores or entities can issue the same number. Investigating the text should happen alongside verification of the identifier's scope.

Understand the cleaning function's actual coverage

Microsoft states that Excel's TRIM function was designed for the ordinary ASCII space character and does not, by itself, remove the nonbreaking space character with decimal value 160. A successful-looking cleanup can therefore leave the character causing the mismatch. Ask the analyst to identify the offending character rather than adding cleaning functions without a clear reason.

Use the tool's supported inspection functions or a developer-assisted comparison to examine character lengths and codes where needed. Keep that analysis on a copy with appropriate access. The review does not need to expose customer or bank references in an external troubleshooting forum.

Decide which differences may be normalized

Agree a matching rule with the owner of the source identifier. Removing an accidental trailing space may be reasonable, while dropping punctuation, leading zeros, or letter case can combine values the source treats as distinct. A rule that works for supplier names may be wrong for transaction keys.

For illustration, references AB-12 and AB12 should remain separate unless the authoritative source confirms they identify the same record. Removing hyphens merely because it improves a match percentage is not evidence for that conclusion. Likewise, changing a reference to a number can discard meaningful zeros.

Store the original and normalized comparison value separately. That preserves the evidence behind a proposed match and allows a reviewer to reproduce it. Keep unresolved pairs visible instead of silently assigning them to the first similar-looking record.

Check whether the rule creates new collisions

Count distinct identifiers before and after the proposed transformation. Inspect every case where several original values collapse into one normalized value. Some may be harmless formatting variants; others may belong to different customers, documents, or entities and require a more specific key.

Test a known successful match, the original failed pair, a deliberately different reference, and a record from another source account with the same visible number. Compare the resulting payment or document assignments with the underlying evidence. Matching more rows is useful only when the additional assignments are correct.

Repair the source of repeated formatting differences

If the same character repeatedly enters through a portal export, copied PDF, or manual-entry field, ask the responsible owner to address that route. Retain a documented transformation where the source cannot be changed. Avoid asking every preparer to perform an undocumented search-and-replace at month-end.

Review any assignments made using the earlier faulty rule before clearing the exception. Where a payment reached the wrong invoice, follow the approved accounting correction process and preserve the original association. The finished investigation should explain both the text difference and the business record the corrected match now identifies.
