Accounting software exports: what to retain before switching systems

Preserve the ledger, chart, attachments, reconciliations, schedules, audit history, and open items before relying on a new system’s opening balances.

Agree the migration boundary

Set the final period in the old system and the starting period in the new one. Decide which historical detail will migrate and which will remain in a retrievable archive.

Confirm company access to both systems during the transition. Losing the old account before verification can leave missing attachments or reconciliation history difficult to recover.

Export the financial record

Retain the general ledger, trial balance, chart of accounts, statements, customer and vendor balances, and relevant transaction detail. Include entity, currency, period, and export date.

Keep the original files unchanged and document any conversion. A summary P&L is insufficient when the new team needs to explain individual balances.

Preserve the evidence behind the numbers

Collect reconciliations, source statements, payroll records, revenue and inventory schedules, fixed assets, debt, owner activity, and material journal support. Determine what attachments or audit records the application can export through its official functionality.

Do not assume an integration transfers every historical document. Verify its scope and preserve missing evidence separately.

Reconcile the receiving system

Compare opening trial balances, subledgers, account mappings, and a representative set of transactions. Investigate sign, currency, cutoff, and duplicate differences.

For illustration, importing both an opening receivable balance and all historical unpaid invoices can duplicate the asset unless the migration design accounts for their relationship. The reviewer should confirm the intended method.

Close the handoff with retrieval

Test that a material balance and its evidence can be found after migration. Keep the old export package in a company-controlled location with appropriate access and retention.

Record open issues, corrections, and final approval before ending old-system access. The switch is complete when the new starting point agrees and the company can still explain its history.

Review the receiving chart of accounts with the reporting owner. Merging categories can make prior-period comparisons difficult even when totals agree. Retain the old-to-new mapping and explain material presentation changes in the first management pack.
