Identify the event the credit compensates
Download the reimbursement detail and match its product, quantity, reason and case reference to the original inventory event. A settlement credit alone may not show whether goods were lost, damaged or otherwise adjusted. Retain the report row and the relevant inventory ledger history so the accountant can follow the credit without inferring its purpose from a positive amount.
Amazon's report guidance separates inventory movements from reimbursement detail, and its reimbursement policy describes replacement or payment for eligible lost or damaged goods. Check the actual resolution. A physical replacement and a monetary reimbursement create different records, even when both close the same operational complaint.

Find what the books already recorded
Locate the inventory reduction, any loss entry and any previously recorded reimbursement receivable. The incoming credit may settle an existing balance rather than create a new benefit. If the original loss was never recorded, the accountant needs that fact before determining the complete correction. Posting the credit as ordinary customer sales can hide an inventory problem and distort marketplace performance.
Keep quantity and value separate. Amazon's approved reimbursement amount may differ from the product's carrying value or customer selling price. Preserve the calculation or explanation supplied for the claim and let the accounting policy determine presentation. Do not change the original product cost simply to force equality with the credit.
For a hypothetical loss of eight units carried at $15 each, the inventory cost affected is $120. If a supported reimbursement is $112, the $8 difference requires the accountant's treatment. The example does not describe Amazon's valuation formula or promise a recovery rate.
Trace the credit into settlement once
Match the reimbursement reference to the marketplace transaction report and then to the settlement that contains it. Check whether the connector imports the credit automatically and how it classifies the transaction type. If a claims spreadsheet also creates a manual entry, confirm that it does not record the same recovery again.
Some claims can resolve across several credits or quantities. Maintain a claim-level schedule of units affected, units replaced, cash credited and amounts still disputed. A single case marked resolved in a support portal does not explain every financial posting. Investigate unexplained residuals while the source detail remains available.
Retain the claim history for later adjustments
Keep the original loss event and reimbursement reference after payment. They may be needed to explain a later correction, found item or reimbursement reversal. Record the amount the company accepted, any challenge still open and the person responsible for following it. A current zero claim balance should not erase the supporting history.
Use completed cases to assess operational losses by product and reason without counting recoveries as customer demand. The business can compare gross losses, supported recoveries and unrecovered cost in a management view. Reconcile that view to the approved financial presentation so an improvement in reimbursement collection is not mistaken for an improvement in product sales.
