Hiring a preparer to investigate and amend a business return

Separate the decision to amend from preparation, related returns and follow-up so the fee and deliverables match the actual correction needed.

Commission the assessment before assuming the remedy

Describe the newly discovered fact and give the tax professional the filed return, supporting records and relevant correspondence. Ask it to assess the required response under the applicable rules. An amendment may be appropriate, but the correct procedure can depend on the taxpayer, return and circumstances. Do not purchase a generic amendment package before the adviser has identified the actual task.

Request a short assessment deliverable stating the issue, affected periods, evidence needed, proposed approach and unresolved questions. Include any timing concern for the professional to evaluate. The assessment should have value even if the conclusion is that more evidence or a different specialist is required.

Map the connected returns and records

Ask which other filings or recipients may be affected by the proposed correction. A change can require coordination beyond the original business return, but the scope must identify the actual consequences rather than assume every related return needs amendment. Name the professional responsible for each affected assignment.

The IRS recommends retaining filed returns and explains that records can remain relevant to later corrections. Give the preparer the complete prior version and preserve it with the amendment work. Replacing the original file with a corrected copy makes it harder to explain what was filed and what changed.

Price preparation separately from investigation

Ask whether the quote includes reconstructing records, researching treatment, preparing the correction, responding to review questions and submission. Separate additional jurisdictions and later authority correspondence. A low preparation fee can depend on management supplying a fully resolved calculation that it does not yet have.

If the provider prepared the original return, discuss the cause of the change and the applicable fee terms using evidence. New facts, changed instructions and an error within the original engagement raise different commercial questions. Preserve a practical route to meet obligations while resolving any disputed charge through the agreed process.

For an hourly assessment, set a budget review before substantial new preparation begins. For a fixed amendment fee, identify assumptions that permit repricing. Keep the decision to proceed with each connected return explicit so a narrow correction does not become an unapproved group-wide project.

Define review and filing ownership

Identify the person who will explain the difference between the original and proposed return to management. Ask for a schedule of changes tied to the source evidence and the final correction. IRS preparer guidance emphasizes taxpayer review of the return. A clear comparison makes that review more practical than asking management to inspect two large files unaided.

Confirm who signs, authorizes submission, files and retains the resulting evidence. Keep any required payment decision with an authorized company representative. If another accountant maintains the books, specify how approved tax changes and relevant adjustments reach that person without creating contradictory versions.

Agree the ending and later support

Ask whether the engagement ends at submission, acknowledgment or another defined point. State who monitors subsequent correspondence and how additional questions are billed. Do not treat a projected refund or reduced liability as a guaranteed service outcome. The authority's processing and determination remain outside the preparer's control.

Retain the assessment, filed correction, changes schedule, authorizations and status together. Assign remaining questions to named owners. A completed amendment engagement should leave the company able to explain the correction and respond coherently when a future adviser or authority asks about it.
