Capture the purchased service period
For an annual software invoice, record vendor, legal entity, amount, payment date, service dates, renewal terms, and cancellation conditions. Keep the invoice and agreement with the schedule.
Ask the accountant to confirm the treatment under the company's reporting and materiality policy. A cash-basis tax treatment can differ from accrual financial reporting, and the accounting application should reflect the approved approach.
Use a schedule when the policy requires it
If the cost is recognized across the service period, roll the opening prepaid balance through additions, expense, refunds, and closing balance. Tie the schedule to the ledger.
An illustrative $12,000 subscription providing a consistent twelve-month service could produce $1,000 of monthly expense under a straight-line accrual policy. Mid-month starts, bundled services, cancellations, or other terms may change the calculation.
Check what changed after purchase
Track additional seats, upgrades, credits, and early renewals. Determine whether a new invoice replaces, extends, or supplements the existing service. Duplicated subscriptions can remain in both the payment record and prepaid schedule if nobody closes the old arrangement.
Review inactive products with the operational owner. An unused subscription may still create a contractual payment, while its accounting treatment requires a separate assessment.
Link renewals to the cash forecast
Show renewal dates and expected cash charges, including annual payments that are invisible in a simple monthly expense run rate. Assign an owner to approve or cancel before the contractual notice date.
For a hiring plan, consider whether new employees increase seat counts or push the company into a different tier. Use actual terms instead of assuming software scales smoothly with headcount.
Close and review consistently
Reconcile additions and amortization each month, investigate unexpected negative or unchanged balances, and retain reviewer approval. Keep corrections linked to the original invoice.
At renewal, compare the remaining schedule with the service term and cash commitment. The company should be able to explain both this month's expense and the next payment, with estimates and approved contractual amounts distinguished.
