Prepare the evidence when Australian super contributions arrive late

Separate the final quarterly obligation from Payday Super, trace fund receipt dates and establish which period a late or returned contribution actually satisfies.

Identify which super regime governs each amount

An Australian employer investigating a late contribution in 2026 needs more than the bank debit date. The review must distinguish the final quarterly super obligation from Payday Super, which began on 1 July 2026. Put the employee, pay date, earnings period and contribution obligation on separate lines before deciding how to correct the shortfall.

The ATO's changeover guidance retains ordinary time earnings for the April to June 2026 quarter and introduces qualifying earnings for Payday Super. Preserve the payroll calculation supporting each regime. Reusing the prior quarter's earnings report without reviewing its categories can conceal an incorrect liability even when the remitted amount matches payroll's total.

Test receipt by the fund, not release from the bank

Under the general Payday Super rule, the fund must receive contributions within seven business days after payday. Exceptions, including arrangements for new employees, need their own assessment. The Fair Work Ombudsman explains this receipt requirement; initiating a payment within the window is not enough to establish compliance.

Collect payroll finalization, payment instruction, bank settlement, clearing-house processing and fund acceptance records. If a contribution was rejected, retain the rejection reason and return date alongside the corrected submission. Ask the payment provider or fund for the missing receipt evidence rather than substituting an estimated arrival date. Distinguish a genuinely late arrival from a contribution that remains unallocated or cannot be matched to the employee.

Reconstruct the special July allocation

The final April to June quarterly contribution had to reach the fund by 28 July 2026. ATO transition guidance states that contributions received from 1 to 28 July first satisfy outstanding obligations for that quarter. Contributions received from 29 July instead count under Payday Super, even if the employer intended to settle the old quarter.

Prepare an allocation table using actual receipt dates. Show the intended period in one column and the applicable allocation in another. A July payroll payment may have cleared an older obligation first, leaving the new payday short. Conversely, a receipt after 28 July cannot simply be moved back in the spreadsheet to make the quarterly obligation appear timely.

Separate the outstanding payment from the correction filing

For a missed final quarterly deadline, the ATO states that the super guarantee statement and charge were due by 28 August 2026 and that the late-payment offset is unavailable. That deadline has passed for a review performed in October. Give the adviser the original liability, receipt chronology and any statement already lodged so the overdue position can be addressed.

For Payday Super errors, establish the outstanding employee and fund amounts, correct invalid details and arrange the necessary payment promptly. Have the adviser confirm the applicable reporting and charge consequences. An old quarterly correction template should not be reused without checking that it fits the relevant obligation and period.

Verify the employee outcome after resubmission

A replacement payment closes the operational issue only when its acceptance and allocation can be demonstrated. Reconcile the corrected fund records to the liability schedule, showing any amount still outstanding. Keep charges and other correction costs identifiable. Then fix the actual failure, such as stale fund details or insufficient processing time, and test that step on the next affected payday.
