Track AWS Marketplace private-offer installments from agreement to cash

Keep accepted contract value, scheduled invoices, issued bills and seller disbursements separate when a SaaS private offer uses a custom payment schedule.

Retain the accepted schedule as part of the deal

Save the accepted private offer, service term and installment dates and amounts. AWS Marketplace supports custom installment schedules for eligible private offers. The installment documentation also states that a schedule already extended to and accepted by a buyer cannot simply be modified; changes require a new offer. Keep the accepted version available when a later commercial discussion proposes different timing.

Reconcile the sum of scheduled amounts to the accepted contract total and identify any separate usage charges. Obtain clarification for a mismatch before treating the agreement as ready for billing. An informal sales spreadsheet may help plan the deal, but the finance register should reflect the actual accepted offer.

Give each installment its own status

Record the offer and agreement identifiers, scheduled invoice date, expected amount, actual invoice reference, payment or disbursement status and any adjustment. Keep not-yet-invoiced installments separate from issued bills awaiting settlement. Those states imply different follow-up and should not be combined into one overdue balance.

AWS's billed revenue guidance recommends checking offer acceptance and the invoice schedule when an expected private-offer bill is missing. Use that sequence in the review. Confirm the agreement and scheduled event before escalating a reporting delay, and preserve the outcome against the relevant installment.

Distinguish the invoice date from the cash expectation

AWS explains that seller payment for an installment follows collection from the buyer. The scheduled invoice date therefore should not automatically become the cash-receipt date in the forecast. Use the actual buyer terms and settlement evidence available to the business, with clearly labeled assumptions where timing remains uncertain.

In a hypothetical $120,000 agreement with three $40,000 installments, the accepted value is $120,000 while only the installments already invoiced belong in the issued-bill register. Cash may arrive later than the invoice dates. The example illustrates status tracking; it does not determine revenue recognition or the collectability of any particular agreement.

Handle changes as linked agreement versions

If commercial terms change, retain the original and replacement offer references and the approved explanation. Identify which installments remain valid, which are replaced and how previously issued bills or receipts are handled. Have the relevant teams review the supported process before creating a replacement that could overlap the original obligation.

Reconcile the revised total and dates to the customer confirmation, marketplace records and accounting workpaper. Keep an exception open until all affected systems reflect the approved result. A new offer appearing in the portal does not establish that every old scheduled amount has been resolved appropriately.

Use separate bridges for service and settlement

Provide the accountant with service dates, promises and amendments for the revenue assessment. Maintain the installment register as billing and collection evidence. The two schedules should be linked by agreement but need not have identical monthly patterns. A large installment may fund several periods of service, while a later installment may relate to service already being delivered.

At each close, reconcile scheduled amounts that became due for invoicing, actual bills, adjustments and disbursements. Review upcoming installments with the account owner and cash forecast preparer. This gives management a clear view of the accepted deal, the remaining billing timetable and the cash still to arrive without treating them as interchangeable measures.
