Your business bank is merging: preserve the reconciliation across the change

Track account identifiers, statement periods, payment services and bank mappings through a merger without losing history or duplicating activity.

Turn the bank's notices into a dated change list

Read the merger notices and identify what will change for the company's actual products. Record account and routing identifiers, portal access, statement delivery, payment files, service cutoffs and contact details. Some information may remain valid temporarily, while other services require action before the conversion. Keep the bank's exact effective dates and transition instructions.

The FDIC notes that bank mergers can affect services, automatic payments and deposit-insurance aggregation. Review those matters separately. A new logo does not establish whether an account number changed, and continued online access does not establish that every scheduled instruction migrated correctly. Assign an owner to each action in the notice.

Capture the final record under the old arrangement

Download statements, reconciliation reports, payment acknowledgments and available historical detail before access changes. Preserve account identifiers and the last imported date. If the bank issues a shortened conversion statement, include it in the coverage register so the period between the final old statement and the first new statement remains complete.

Agree the ledger mapping with the accountant. An administrative identifier change may require a mapping update without creating a new economic cash account. A genuinely new account or transfer needs its own record. Use the bank's documentation to distinguish the two rather than letting an automatic connection create duplicate ledger accounts.

Test the first new statement and feed

Compare the first opening balance with the final balance under the old arrangement. Inspect transactions around the conversion boundary for gaps, duplicates and changed descriptions. Keep the original dates and references where possible. A feed reconnect can import history that was already reconciled, so review the covered date range before accepting the full download.

Verify that payment files, beneficiary templates and approval roles transferred as expected. Recheck any fraud controls and user limits that the bank identified as affected. Do not infer that a migrated template has been reverified against current supplier instructions merely because it appears in the new portal.

Review concentration and recurring payment dependencies

Update the bank register to reflect the legal institution after the merger. If the business already held deposits at the acquiring bank, obtain guidance on the applicable insurance treatment and any transition period. The details depend on the accounts and deposit products, so retain the bank or FDIC evidence used in the assessment.

Track customers, payroll providers, tax-payment systems and suppliers that need updated details. Confirm the first successful receipt or debit through each material route. Keep the old and new instructions in a controlled change history so staff can answer a payment trace without sending obsolete details again. If the bank allows temporary use of old routing details, record when that accommodation ends and escalate dependencies still using them before the deadline.

Close the migration after the first full reconciliation

Reconcile the conversion period and the first complete period under the new arrangement. Resolve unmatched transfers, service fees and residual activity. Save the change list with the final reconciliation pack, including items the bank confirmed would remain unchanged.

Have the finance owner review unresolved operational dependencies, not only the cash total. A correctly reconciled balance can coexist with an inactive backup approver or a customer still using obsolete instructions. Keep those items assigned until verified, and retain the old statements under the company's records policy after the old portal is retired.
