Plan around commitments, while letting the person take leave

Planned leave should lead to a coverage plan, not an expectation that your accountant will keep working from holiday. Identify the commitments falling inside the absence and name the people who will handle them. Some work can move with agreement; payroll, payments, and external deadlines may need active cover.

A historical Journal of Accountancy report on accounting-firm staffing described planned time off as a way to test whether teams could shift responsibilities and maintain client service. The enduring operational question is simple: can the engagement continue without depending on one person's memory and availability?

Ask about the service arrangement, not private reasons for leave. You need the coverage dates, temporary contact, relevant competence, and escalation route. The provider remains responsible for explaining how it will meet its agreed work, while your company remains responsible for its own inputs and approvals.

Sort the work by what happens during the absence

List scheduled tasks and open matters with their next action. Distinguish work that must be completed before leave, work the backup will perform, work waiting for another party, and work deliberately deferred. An undifferentiated task list makes it easy for a critical item to look like routine background activity.

Include items that recur less frequently than the ordinary weekly routine. An annual renewal, quarterly filing handoff, or unusual customer credit may fall into the absence even though it does not appear in the latest month-end checklist. Check the company calendar and pending requests together.

Test access before the usual accountant leaves

Have the backup sign in using their own authorized account and retrieve the records needed for the assigned work. Check the document portal, accounting system, relevant source reports, and approval workflow. Being copied on an introduction email does not establish that the person can perform the task.

Intuit's QuickBooks Online guidance describes assigning users specific roles and permissions. Use the corresponding controls in your actual systems rather than sharing the absent person's credentials. Available roles and limits depend on the product and plan, so verify the required access before the coverage period starts.

Keep payment authority separate from preparation. A backup bookkeeper may need to prepare a payment list without being authorized to release funds. If the company's usual approver is also away, appoint an appropriate company backup through the established process. Do not discover both absences at the payment cutoff.

Give the backup a usable handoff, then observe one task

The handoff should contain the current schedule, known exceptions, policy decisions, source links, and unfinished questions. Identify which prior-period records are final and which are still under review. Explain unusual recurring items that a new person would not understand from account names alone.

For an illustrative example, a regular deposit includes both current customer collections and the release of previously held funds. The backup needs the reconciliation method and source report, not an instruction to code all deposits the same way. A brief walkthrough of the last completed instance can expose missing documentation before it matters.

Ask the backup to perform or explain one representative task while the usual accountant is still available. This can be a review of a completed period or a current task under the normal controls. The purpose is to check comprehension and access, without creating duplicate live postings.

Agree how the company will communicate during leave

Send the internal team the temporary contact, request route, expected response calendar, and escalation contact. Ask employees to keep new questions in the shared process so they do not accumulate in the absent accountant's inbox. AICPA Member Insurance Programs' onboarding guidance treats communication and client responsibilities as explicit parts of the service; temporary coverage needs the same clarity.

Define what counts as an emergency under this arrangement and who responds. A routine classification question can wait in the queue; a problem affecting an imminent payroll requires prompt escalation. Avoid a vague instruction to contact the person on leave for anything important, which leaves everyone guessing and undermines the coverage plan.

Complete the return handoff and remove temporary exceptions

When the accountant returns, the backup should identify completed work, changes made, decisions taken, new questions, and anything still waiting. Link the evidence and approvals so the returning person does not redo work or reverse a deliberate decision through lack of context.

Review temporary access and delegation. Retain appropriate standing backup roles if that is the approved model, and remove time-limited exceptions that are no longer needed. Confirm the next ordinary delivery date and any deferred work.

Use the experience to improve the documented procedure. If the same question required repeated explanation, record the answer where the team works. A planned absence has been well covered when both the company and the returning accountant can understand the period without reconstructing it from scattered messages.
