Keep the ledger and compare who does the work

If QuickBooks Online already holds your company's records, you can compare bookkeeping providers around that existing system. The seven options below publicly describe QBO support or a QBO-based workflow. They are candidates for a proposal, not a ranking of customer results. Confirm your company's exact setup before assuming every integration or reporting requirement is supported.

Start with the QBO company or companies you want the provider to manage, the last completed close, and the connected bank, payroll, billing, and commerce tools. Identify who currently holds administrator access and which routines already work. A provider change does not need to become a software migration unless there is a specific reason to change systems.

Compare the seven service models

Each provider has a different combination of bookkeeping, accounting, tax, and advisory work. The platform is a compatibility requirement; it is not the whole service. Use the table to select candidates whose operating model is worth a closer discussion, then require a quote for the same workload.

Pilot and Decimal for a QBO-based recurring service

Pilot's FAQ describes QBO as its bookkeeping platform, with tax and AP/AR added separately. Decimal describes a dedicated QBO team and a scope-based monthly fee, with bill pay, invoicing, expenses, and related operations available. These are useful candidates when the company wants an external team to work around its existing QBO ledger.

Ask both to distinguish transaction processing from completed reconciliation and review. Establish when the provider requests documents, when a report becomes final, and how exceptions are communicated. If you also need a team to process bills or customer invoices, write that operational work into the quote instead of inferring it from bookkeeping access.

Bookkeeper360 and indinero for configurable accounting needs

Bookkeeper360 supports QBO and Xero, with additional tax and fractional CFO services. indinero names QBO and NetSuite and describes accounting-system setup, cleanup, and financial workflows. A business expecting more than a routine close can investigate the actual configuration and expertise available under each proposal.

Provide a representative transaction from your business, such as a customer prepayment or a processor settlement. Ask which system holds the source data, how the record reaches QBO, and what the team reviews before accepting it. Confirm whether fixing an integration, redesigning an account structure, or maintaining a specialist schedule is recurring work or a separate project.

Wiss and Burkland when another finance role is involved

Wiss describes outsourced and co-sourced delivery, while Burkland offers startup accounting alongside CFO and other finance functions. QBO compatibility is only the opening question if you already have staff or need higher-level support. Ask how the provider would work with your controller, finance lead, or existing tax preparer.

A division of responsibilities might leave billing and payroll internally while outsourcing reconciliations and reporting. Alternatively, a company may retain its accountant and hire an adviser for planning. These are possible arrangements to request, not standard package promises. Name the reviewer and final owner for each output so several professionals do not create conflicting versions of the books.

Institution when the company also wants its workspace

Institution's Dashboard is $0 per month and requires a separately billed QuickBooks Online subscription for connected accounting. Its workspace includes reports, records, documents, tasks, and Ask Max access about business information. Professional bookkeeping comes through a paid service such as Finance Desk; Managed Accounting adds an accrual accounting team with senior review.

Compare the service plan you would buy with the other providers' proposals. Workspace access does not mean a professional has reconciled every account or completed the month's tax work. Ask how the selected team handles your QBO companies, connected systems, historical issues, reporting needs, and any required additional filings. Institution is the publisher of this guide and should face the same checks as the other candidates.

Check the records you retain when the bookkeeper changes

Keep company-controlled administrator access and arrange appropriate named access for the provider. Agree where reconciliations, supporting schedules, closing reports, and unresolved questions will be stored. A ledger export alone may not explain a balance or the judgment behind an adjustment, so specify the contracted handover materials.

Before starting, identify the last reliable close and any historical work required. Separate migration from cleanup even if the software remains QBO: moving documents and permissions is different from fixing unsupported balances. Confirm which professional reviews corrections that affect previously filed returns or externally supplied reports.

Use the first close as the service acceptance point

Ask the chosen team for input deadlines, a delivery calendar, a reviewer, and a list of included reports. After the first close, check one material balance against its schedule and review outstanding items together. Resolve any mismatch between the quote and actual responsibilities before the next period begins.

For the final price comparison, include the QBO subscription, related software, onboarding or cleanup, annual tax work, and the staff effort you retain. The provider that fits your business should make that full operating arrangement understandable before you transfer the recurring work.
