Identify the vehicle and ownership
Record the vehicle, owner or lessee, acquisition date, cost, financing or lease terms, and entity using it. Keep purchase, title, lease, and loan documents where relevant.
An employee-owned vehicle and company-owned vehicle can involve different records and treatment. Tell the preparer whose asset it is before supplying a total expense figure.
Gather use evidence
Maintain the records required to substantiate business and personal use under the applicable rules. Include dates, purposes, destinations, mileage, and other relevant support through the company's approved process.
IRS Publication 463 discusses vehicle and travel substantiation. The adviser should assess the specific deduction method, restrictions, and eligibility using the actual facts.
Reconcile operating costs
Collect fuel, maintenance, insurance, registration, parking, tolls, and other relevant costs. Identify reimbursements and expenses already recorded through payroll or cards.
For illustration, an employee reimbursed through payroll for a documented trip should not also receive a separate transfer for the same claim. Keep the payment reference with the expense record.
Supply acquisition and financing schedules
Provide depreciation history, business-use changes, loan principal and interest, and any prior tax method used. IRS Publication 946 is a reference for depreciation, with vehicle-specific limits requiring review.
Do not choose a deduction method solely by comparing one year's cash expenses. Prior elections, ownership, use, and restrictions can affect what is available.
Include changes and disposals
Identify sales, trade-ins, scrapping, transfers to owners, and other changes. Retain proceeds and disposal evidence alongside the original asset history.
Send the preparer a reconciled packet with unresolved questions listed. Keep the selected treatment and calculations in the year-end file. The operating goal is complete evidence for a qualified tax decision, rather than an unsupported vehicle expense total.
Check whether another business or owner also claimed the same costs. Keep reimbursements and company-paid expenses distinguishable, and ask the preparer to assess any mixed-use allocation. The file should show the support behind the percentage used.
