Explain the gap between cash sales and cash deposited at the bank

Connect tender reports, refunds, floats, cash held and deposit timing so daily sales can be traced to the bank without treating every difference as a loss.

Use the cash tender total for the correct business period

Start with the point-of-sale cash tender report and its business-date definition. Total sales may include card payments, credit sales or other methods that will never appear in a physical cash deposit. Confirm whether refunds, taxes and deposits are included in the reported cash amount. Keep the report version and any later corrections.

IRS Publication 583 illustrates daily cash-receipt summaries supported by register records and deposit information. For a business with several locations, preserve each location's summary before combining them. A consolidated total can hide one store's missing deposit behind another store's timing difference.

Build the movement from receipts to money available for banking

Add opening cash held for deposit, then the period's cash receipts. Subtract supported cash refunds, approved cash uses and amounts retained for the next operating float. Show each category separately. Do not net miscellaneous expenses against sales without recording the underlying expense and approval.

Count cash still on hand at the end of the period. That amount belongs in the reconciliation even when the bank collection happens later. Document who holds it and where the count evidence is stored. Expected cash and physically verified cash should remain distinguishable until a variance is resolved.

If money moves between a store, safe and central cash office, record the custody transfer once at each handoff. Such movements explain location, not new company receipts. Keep the business date and custody date so later banking does not shift sales into the wrong period. Require a receiving acknowledgment for each transfer so the amount removed from a till is traceable to its next location.

Match deposit batches to bank credits

Use bag numbers, deposit slips and collection references to connect the amount sent for banking with the credited amount. One credit may combine several days or locations; one deposit can also generate separate credits or adjustments. Retain a component schedule where the bank statement does not provide that detail.

Create a deposit-in-transit list at the cutoff and follow it to subsequent statements. Investigate old items and differences in amount. A timing explanation needs a particular deposit and a later settlement record; it should not become a recurring label attached to an unexplained balance.

For an illustrative week with $18,000 of recorded cash receipts, a $1,500 deposit made after the cutoff can explain part of the difference from bank credits. It does not explain a separate $200 shortage in the physical count. Keep the timing item and the count variance separate so each receives the correct follow-up.

Give the accountant a complete bridge

The working paper should connect opening cash awaiting deposit, current receipts, documented uses, closing cash held, deposits sent and bank credits. Agree its totals with the sales records, cash ledger and bank reconciliation. Keep supporting detail available for each material category.

Ask the accountant to review uncertain classifications, including customer deposits, tips or tax amounts where relevant. Physical cash collection does not determine the reporting treatment by itself. Preserve the underlying transaction information rather than treating the net bank credit as the sole sales record.

Review repeated differences by cause and location. A late carrier pickup, incorrect tender selection and unsupported cash payout require different corrections. Assign the operating action to the relevant owner and check the next period's bridge to see whether the same issue recurs.
