Keep a close approval separate from a software setting
A period-close setting can help control edits, but the company also needs a rule for who approves reopening and why. Record the final report version, approval date, and remaining known limitations. A software lock does not prove that every account was reconciled correctly.
Define which changes require review, including transaction edits, deleted records, new journals, and changes that indirectly affect a reconciled balance. The scope should match the company's reporting needs and system capabilities rather than assume one permission covers every action.
Require a specific correction request
The request should identify the original transaction, proposed change, amount, period, evidence, and reason. Explain which statements, tax work, lender reports, or investor updates may be affected. Have the accounting owner and other relevant professionals assess the treatment before posting.
For an illustrative omitted $5,000 supplier bill, the decision depends on when the work occurred and the reporting circumstances. Adding it to the current month merely to avoid reopening is not automatically appropriate. Backdating it without review is not a better alternative. Preserve the facts and obtain the approved treatment.
Use the system history as evidence, not the whole process
QuickBooks Online's audit log records activity and changes, including certain automated actions. Review the actual history when investigating a correction, and distinguish an application-generated event from a direct user edit. The log can show what happened; it may not contain the business approval or rationale.
Keep the correction reference attached to the entry and retain the approval separately where needed. Review the platform's history retention and export capabilities. Do not rely on indefinite log availability as the company's only evidence for a material prior-period change.
Reissue affected reports deliberately
Reconcile the revised balance, update dependent schedules, and identify which previously distributed reports need replacement or explanation. Preserve the earlier version and label the new one. Recipients should not have to discover a material correction by comparing two files with the same name.
Restore the appropriate close controls after review and confirm that access remains limited to authorized roles. Inspect the next reporting cycle for calculations still using the old balances. The correction is complete when both the books and the information used by decision-makers reflect the approved change.
