One bank statement covers several accounts: reconcile each separately

Map the account sections inside a combined statement, distinguish summary totals from transaction detail and preserve a separate reconciliation for each ledger balance.

Map the accounts contained in the document

Read the statement contents before entering a closing balance. List each account identifier, legal holder, currency, statement dates and page range, then connect it to the approved ledger account. A single downloaded document can contain several balances that require separate reconciliations. The first account named on the cover should not absorb every transaction in the file.

Bank of America describes combined statements that report activity for a primary account and selected linked deposit accounts. That is a document arrangement, not evidence that the company has one combined accounting balance. Check the actual statement and account agreement used by the business, since other banks can organize linked-account information differently.

Separate the summary from each account balance

Identify whether a cover-page amount summarizes the linked accounts, shows one primary account or uses another defined measure. Trace it to the detailed sections before using it as a control total. Keep account balances, available amounts and any relationship summary clearly labeled so unlike measures are not added together.

In a hypothetical statement, checking closes at $18,000 and savings at $7,000, with a $25,000 combined summary. The supported deposit total is $25,000, not $50,000 obtained by adding the summary to both detailed balances. Each underlying account still needs its own opening balance, activity and outstanding-item explanation.

If an account is displayed only in summary, obtain the transaction detail required for its reconciliation. The presence of its balance on the cover does not prove that the complete activity is included elsewhere in the file.

Match internal transfers without losing either account

Follow a movement between linked accounts through the debit in one section and the credit in the other. Record both dates and references, including any difference in statement periods. Use the accounting system's supported transfer treatment so two imported sides explain one movement between the company's accounts.

For an illustrative $2,000 transfer from checking to savings, the individual balances change while the combined amount is unchanged before fees or other activity. Reviewing only the combined summary could therefore miss a missing or duplicated side in the ledger. Compare both account reconciliations even when the overall total appears reasonable.

Check the import boundaries for every section

Confirm whether the statement converter or bank feed produces separate files or populations for the underlying accounts. Compare the source account identifiers and row counts before posting. A file named after the primary account can still require closer inspection of which transaction section it contains.

Test the opening balance plus recorded credits less debits against each section's closing balance. Investigate omitted pages, repeated headings interpreted as transactions and summary rows imported as activity. Preserve supported timing differences separately. The purpose is to prove each account population, not to force the combined file into one reconciliation.

Retain one source document with clear account references

Keep the complete original statement and reference the relevant pages from each reconciliation. If extracts are provided to different preparers, record which original file they came from and retain enough context to identify the account and period. Restricted access should follow the information contained in the whole document, including any linked account belonging to another holder.

At review, confirm that every expected account section has a completed reconciliation or a documented open task. Note accounts added to or removed from the combined statement so a change in document packaging does not make a bank balance disappear from the close. The final record should support both the individual balances and any properly defined summary.
