Use the bank's actual document request
Start with the bank or financial provider's current requirements for the entity and owners. Formation papers, tax identification, ownership details, and authorization records may all be relevant, but requirements vary. A formation package does not guarantee approval or replace the provider's verification process.
Assign one person to coordinate the application and retain the exact version of each document supplied. Multiple founders answering separately can create conflicting descriptions of ownership, activity, or expected transactions even when nobody intends to misstate the facts.
Compare legal ownership with the internal register
Check that the ownership record reflects completed issuances, transfers, and other relevant events supported by the legal documents. Keep pending financing and unsigned agreements distinguishable. Do not present a planned ownership percentage as already effective.
Different financing instruments may not translate directly into a current ownership percentage. Have counsel or the responsible professional explain the relevant treatment and the bank's requested disclosure. A cash receipt from an investor is evidence of funding, not a complete substitute for the instrument terms.
Explain differences instead of editing evidence
If a document uses an old name or address, provide the accepted change record and a clear explanation through the bank's process. Do not alter an official document to make it resemble a newer application. Correct the source record where a genuine error exists.
After the account is opened, save the approved company details and identify events that require updates, such as ownership, control, activity, or address changes. Keep the ledger's bank account tied to the correct legal entity. A successful onboarding should leave a consistent company record, not a one-time collection of answers nobody can reproduce.
