Put each proposal into the same worksheet
Use one row for every job your company needs: bookkeeping, reconciliation, review, payroll accounting, income tax returns, state work, billing support, cash forecasting, and compliance. Mark included, excluded, optional, or unclear for each provider.
Ask the firms to clarify uncertain rows before comparing totals. A phrase such as full-service accounting does not establish which returns are prepared or who resolves an unexplained opening balance.
Calculate the first year and ongoing year
Separate monthly fees from onboarding, historical cleanup, annual tax work, extra states, software, and advisory projects. Account for annual billing commitments and cancellation terms. Do not multiply a promotional month by twelve and present it as the yearly cost.
For illustration, a $400 monthly fee with $1,500 of cleanup and $1,200 of annual filing totals $7,500 for the first year before other charges. A $600 monthly fee including that filing totals $7,200 before onboarding. Those figures are hypothetical; the worksheet should use the actual proposals.
Compare review depth
Ask which balances are reconciled, who reviews them, and what workpapers you receive. A provider that reviews payroll liabilities and processor balances may perform more work than a provider delivering only categorized bank activity.
Request the expected close package with confidential details removed. Judge whether it explains the balances and retains open questions. A report delivered quickly is less useful if the accounting assumptions remain invisible.
Identify fee triggers and internal work
Record what happens when the company adds an account, employee location, entity, currency, or sales channel. Check whether transaction limits are based on bank entries, invoices, or another measure.
List tasks the company keeps, such as approving vendor payments, entering invoices, gathering receipts, and supplying contract changes. Estimate the internal capacity required without pretending every hour has the same value. A cheaper proposal may be suitable when the team can reliably supply that work.
Use unresolved scope as a decision input
Verify preparer qualifications for tax work and ask who handles notices, amendments, and departures. Confirm administrator access and the right to receive complete records.
Choose against the defined work and expected total cost. If a proposal remains vague after clarification, retain that uncertainty in the decision rather than converting it into an assumed included service.
