Identify the payee behind the display name
A vendor database can contain an individual's name, business name, old company name, and bank descriptor for the same payee. Review the legal name and taxpayer documentation through the approved secure process.
Create a cross-reference before merging records. Preserve invoice and payment history so the cleanup does not erase the original trail or break existing integrations.
Review duplicates using more than spelling
Compare taxpayer IDs where authorized, addresses, bank information, invoices, and contracts. Similar names can belong to different businesses. A single name can also correspond to different legal entities.
Have an owner confirm the correct identity and reporting record. Restrict sensitive forms and bank details to people who need them. The FTC's guidance on protecting personal information applies to this working file.
Reconcile the year's payments
Collect direct payments, card payments, credits, refunds, canceled transfers, and any payment recorded outside the main vendor account. Explain the payment-method treatment with the preparer before calculating reportable totals.
Use the correct payment year. IRS guidance raises the general nonemployee service-payment threshold to $2,000 for payments after December 31, 2025, with exceptions and other reporting rules still requiring review. Do not apply that threshold to the prior year by mistake.
Keep classification separate
Information-return preparation does not determine whether a worker is an employee or contractor. If the relationship raises classification questions, route them to the appropriate adviser and record the decision.
Review foreign payees and special payment categories separately. Missing documentation should become an assigned task rather than an assumed tax classification.
Approve the final payee list
Keep the original and reviewed totals with an explanation of merges and corrections. Confirm legal name, address, taxpayer information, reporting category, and payment-method analysis before filing.
Update the onboarding process to prevent recurrence. Request appropriate documentation at the start, define who reviews changes, and stop creating a new vendor merely because an invoice displays a different trading name. The result should be a clean payee record with its history intact.
