Review dependent-care benefits before preparing W-2 box 10

Combine salary-reduction assistance and employer-provided care, then confirm the applicable plan and wage-reporting treatment.

Start with every form of dependent-care assistance

Payroll's dependent-care deduction report may not contain every benefit the employer provided. Obtain the written dependent care assistance program and identify salary-reduction assistance, employer contributions and care supplied directly or through a vendor. Publication 15-B describes reporting the value of all assistance under the program in W-2 box 10.

Ask the administrator which employees received each type of assistance during the calendar year. A company-provided care service can be missed when finance only reconciles the flexible-spending-account deductions. Keep the recipient-level record with benefits staff and share the amounts payroll needs through the approved process.

Match the program's records to the payroll year

Compare employee elections, payroll deductions, employer funding and the administrator's year-end reporting file. Identify plan-year and calendar-year differences, prior-period adjustments and any grace-period treatment that requires review. A claims-paid report and a wage-reporting file may measure different things.

For a hypothetical employee with $4,000 of assistance through salary reduction and $500 of separately provided qualifying care, the combined benefit record is $4,500 before any tax analysis. That total is not automatically the taxable amount. Keep both components visible so the reviewer can apply the relevant exclusion and reporting rules.

Investigate employee transfers, leaves and terminations. Confirm whether a late administrator adjustment changes the amount reported, the funding record or both. Preserve the original report and identify which replacement file payroll should use so a second import does not double the benefit.

Review the current limit and plan eligibility

Use the rules for the calendar year being reported. The 2026 Publication 15-B reflects a changed dependent-care exclusion limit, so carrying forward an earlier payroll configuration without review can produce an error. Obtain a documented confirmation of the applicable limit and the company's adopted program terms.

The exclusion also depends on statutory conditions, including qualifying care and plan requirements. Nondiscrimination issues can affect highly compensated employees. Ask the benefits specialist for the approved taxable portion rather than assuming every amount within a numeric limit is excluded.

Personal facts can affect the employee's final exclusion or credit. Payroll should supply accurate employer reporting and the information its process requires, while the employee's adviser evaluates the personal return. Do not promise that box 10 represents a final deductible amount.

Check the relationship between box 10 and wages

Publication 15-B directs employers to report the assistance in box 10 and include amounts that cannot be excluded in the relevant wage boxes. Review both outputs. Removing an excess amount from box 10 simply because it was added to wages can create a second reporting problem.

Ask payroll for a preview by affected employee showing total assistance, taxable portion and wage-box impact. Confirm that the adjustment does not create an unintended cash payment. If employee taxes must be collected, review available cash wages and the company's approved collection process.

Retain the administrator's final confirmation

Save the final employee benefit file, plan review and payroll reconciliation together. Record whether nondiscrimination testing or another administrator decision remains outstanding. An early draft should not be labeled final while its taxable portions are still subject to review.

After wage statements are produced, compare box 10 and any taxable adjustments with the approved schedule. Route later changes through a documented correction process. Keep the reason for each change so employees receive a coherent explanation if a corrected statement is necessary.
