Dext vs Hubdoc: choosing document capture that supports a clean close

Choose the document workflow your team will finish

Dext and Hubdoc both help turn receipts and invoices into accounting data. Hubdoc describes extracting supplier names, amounts, invoice numbers, and due dates, then creating transactions in Xero or QuickBooks Online with source documents attached. Dext publishes document capture alongside a wider set of bookkeeping, expense, and approval capabilities.

Hubdoc is a sensible starting point when the requirement is collecting documents and sending reviewed data to a supported ledger. Dext deserves a closer review when the team also needs its broader document or expense workflow. Confirm the specific feature, subscription, and country arrangement instead of assuming the full product range is part of a basic capture plan.

The public pages were reviewed on October 18, 2026. The comparison below focuses on the evidence your accountant receives and the work staff must complete; it does not treat a vendor's advertised extraction accuracy as an independently measured result.

Compare capture, review, and publication separately

A document can be successfully uploaded but incorrectly read, correctly read but wrongly coded, or correctly coded but never posted. Evaluate each stage on its own.

Use imperfect documents in the demonstration

Select a small, anonymized set that resembles the documents staff actually submit. Include a long receipt, a multi-page supplier invoice, a credit note, a foreign-currency invoice, and a document with more than one tax or expense category. Avoid evaluating only clean samples chosen by the vendor.

Check the legal supplier name, document date, due date, currency, net amount, and total. When the total is read correctly but the document type is wrong, the accounting result can still be wrong. A supplier credit should not become another bill simply because the amount was legible.

Ask how the reviewer corrects extracted information and whether that correction affects future documents from the supplier. The team needs a deliberate process for changes to coding rules. One unusual invoice should not quietly redefine the handling of every later invoice.

Record review time without turning the small exercise into a broad accuracy claim. The useful comparison is which product makes your actual exceptions easier for staff to identify and correct.

Prevent one purchase from becoming several expenses

The same purchase may arrive through an emailed invoice, a phone photo, and the bank feed. Decide which record creates the expense or bill and which records provide evidence or settle the balance. Without that rule, adding document software can increase duplicates rather than reduce entry work.

Test an invoice uploaded twice, then test a card receipt for a purchase already imported from the bank. Ask the bookkeeper to show the single accounting result and its supporting document. A duplicate warning helps only if the person reviewing it knows which record should remain.

Include recurring invoices with similar descriptions and amounts. They may be legitimate separate periods, so an automatic duplicate rule should not cause staff to discard a valid bill without review. Preserve invoice identifiers and dates to support that decision.

During a switch between capture tools, list documents already posted and those still awaiting review. Emptying an old upload queue into a new product without that distinction can recreate transactions that are already in the ledger.

Make approvals and the ledger handoff explicit

An invoice can be accurate yet unauthorized. Decide whether the capture product, the payable system, or another reviewed process records the business approval. Avoid requiring approvers to repeat the same work in several tools without a clear reason.

Before publication, check the account, entity, department, project, and payment status that will reach the ledger. A document-capture integration needs to preserve the fields used in your reporting. Ask what happens when a field is missing or a destination account has been closed.

Define where corrections are made after posting. If the accountant changes an entry in the ledger, the source-document record should remain understandable. The team must know whether to edit, reverse, or republish through the supported workflow.

For month-end, maintain a view of documents awaiting review and bills not yet posted. An accounting report can understate obligations if invoices remain outside the ledger in an unmonitored queue, even though the upload service is functioning normally.

Check access and document retention before choosing

Review who can upload, approve, export, delete, and view documents. A staff member submitting a receipt should not automatically receive access to every supplier invoice or sensitive employee record. Use the supported roles and review permissions with the accountant.

Ask how to export originals and extracted data if the subscription ends. Keep the business's document-retention policy separate from a vendor's promise of storage. Confirm that the archive remains usable and linked to the accounting records your team will retain.

Choose Hubdoc when its capture and publication workflow covers the task with clear ownership. Choose Dext when the required additional workflow justifies its configuration and cost. Before buying, have your bookkeeper complete a document through review, posting, payment matching, and archive retrieval; that is the evidence the final choice should rest on.
