Ecommerce ROAS after refunds and fees: a finance view of advertising

Compare ad spend with verified store revenue, then test contribution after product costs, refunds, fees, and fulfillment before scaling a campaign.

Decide which revenue measure you are using

Advertising platforms can attribute sales differently from the store's order and payment records. Label the metric before drawing a conclusion: platform-attributed ROAS, store revenue divided by advertising spend, or a contribution measure. These answer different questions.

Align dates, currencies, stores, and refunds. If a campaign report uses conversion dates while the order export uses payment dates, explain the difference. Do not assume that a higher platform value proves that more cash was collected.

Calculate the revenue ratio honestly

For an illustrative store with $20,000 in qualifying net sales and $5,000 in ad spend, the revenue ratio is 4.0. If $2,000 of those sales are later refunded, the revised ratio is 3.6 before deciding how other adjustments apply.

Exclude test orders and canceled unpaid orders. Define how tax, shipping charged to customers, discounts, and refunded items are treated. Keep the order IDs behind the total so a finance reviewer can reproduce it.

Test the contribution underneath

Subtract the relevant product cost, payment fees, fulfillment, shipping subsidies, and other variable selling costs. Then compare the remaining contribution with advertising spend. A revenue ratio that looks attractive can still leave too little to cover overhead.

Suppose the revised $18,000 sales total has $9,000 of product costs and $3,000 of other variable costs. That leaves $6,000 before $5,000 of advertising, or $1,000 afterward. This example excludes fixed overhead and does not establish net profit.

Keep attribution uncertainty visible

Separate a channel-level calculation from a claim that each sale was caused by an ad. Returning customers, organic demand, cross-device behavior, and attribution windows can affect the platform report. Use controlled experiments when you need stronger evidence of incremental lift.

For daily decisions, show the available order evidence and label incomplete refund periods. A new campaign's early ratio may change as orders settle and returns arrive.

Scale against cash and capacity

Before increasing spend, review cash collection timing, inventory availability, and fulfillment capacity. Growth can require stock purchases before the proceeds become available.

Use a consistent report showing spend, verified sales, refunds, variable costs, and contribution. Assign an owner to unexplained differences between the ad platform, storefront, processor, and books. Correct measurement gaps before interpreting them as customer demand.
