Locate the written program before coding payments
An employer payment for tuition or a student loan is not automatically excluded from wages. Publication 15-B describes the requirements for an educational assistance program, including a separate written plan and rules governing eligibility and benefits. Obtain the actual adopted program and its effective date before using a nontaxable payroll code.
Ask the benefits or tax specialist to confirm the program's treatment for the year and the employee involved. Owner benefits and nondiscrimination requirements need attention. A reimbursement policy that approves an expense for company purposes may still fall short of the requirements for a particular federal exclusion.

Document the expense that received assistance
For tuition assistance, retain the school bill, course information, payment evidence and the program approval. Distinguish tuition and qualifying materials from travel, meals or equipment the employee keeps. Publication 15-B identifies expenses that do and do not fall within educational assistance.
For student-loan assistance, obtain evidence that the payment concerns a qualifying education loan for the employee's education. Record whether the employer paid the lender or reimbursed the employee, and preserve the payment reference. A recurring transfer labeled 'loan support' does not establish the underlying loan's character.
Protect account details and education records within the approved benefits process. Payroll generally needs the reviewed payment amount, date and treatment; it does not need unrestricted access to every page of the employee's personal loan history. Agree which supporting documents the tax reviewer must retain.

Combine all assistance before applying the annual treatment
Build an employee-level annual total across payroll, accounts payable and reimbursement systems. Tuition payments and qualifying student-loan payments can draw on the same educational-assistance exclusion. Paying them through separate departments does not create separate limits for the same employee.
Use the current year's verified limit and program rules. For a hypothetical employee with $2,000 of tuition assistance and $1,500 of loan payments, the combined assistance is $3,500. That arithmetic does not prove the whole amount qualifies; the written plan, expense eligibility and other conditions still need review.
Ask the specialist to identify any amount that must enter wages and any separate working-condition benefit analysis. Publication 15-B discusses situations in which education outside the educational-assistance exclusion may qualify under a different rule. Do not apply that alternative simply because the first exclusion is unavailable.

Preview taxable amounts and reconcile direct lender payments
Send payroll the approved taxable and excluded portions with their payment dates. Verify that a direct lender payment is reported where required without being paid again to the employee. If taxes will be collected from a later cash paycheck, check that the employee receives a clear explanation.
Reconcile the benefits register to the employer's bank payments and payroll report. A lender's returned payment, canceled course or employee repayment can change the facts. Route those changes to the reviewer instead of leaving the original annual assistance total untouched.
Carry the program decision into the next payment cycle
Retain the program version, eligibility approval, employee totals and reviewed wage treatment. Ask the program administrator to communicate amendments before finance processes another reimbursement. A change to the company's stated benefit can require a corresponding payroll configuration change.
At year-end, compare the final assistance register with wage reporting and resolve unmatched payments. Give the next administrator enough history to see what was provided during the calendar year, even if the company's fiscal year differs. The annual payroll review should begin with the complete payment record.
