A gift recipient returns an item: preserve the purchaser and credit recipient

Verify the original gift purchase and refund entitlement while recording who receives the replacement value and how the returned item enters stock.

Find the original purchase without replacing its customer history

Use the gift receipt or supported order reference to locate the purchased item, quantity and original settlement. Preserve the purchaser's record while identifying the recipient who presents the return. The person returning the item may legitimately differ from the person who paid, but that difference needs an approved workflow and appropriate verification.

Shopify's POS gift-card refund guidance supports sending a refund gift card to a different customer in eligible circumstances. Review the actual platform limitations and the business's return terms. A technical option to choose a recipient does not establish that every refund should be redirected or that a gift recipient is entitled to cash.

Calculate the entitlement from the original transaction

Retrieve the original net item price and relevant discount allocation. A product's current shelf price may be higher or lower than the amount paid. Apply the approved gift-return policy and any applicable customer rights, retaining the reason for a permitted exception. Avoid using today's price simply because the gift receipt omits the original amount.

For a hypothetical item listed at $80 but purchased with a $20 allocated discount, the recorded net merchandise amount is $60. If the approved return entitlement is that amount, issuing $80 of new credit creates an additional $20 concession. That concession may be authorized, but it should be visible rather than hidden in a changed original sale price.

Check previous partial returns or credits against the same item. The original order may contain several gifts, and only some may be returned. Keep the quantity and remaining refundable value linked to the specific order lines.

Record the recipient's value and the item's disposition

Link any new gift card, store credit or exchange to the original return case and the approved recipient. Preserve the issue reason as a customer return so it is distinguishable from purchased or promotional stored value. Confirm successful issuance and provide the customer with the supported receipt without exposing unnecessary information about the original purchaser.

Receive and inspect the returned product independently. Record the actual location and condition, including missing accessories or opened packaging. An issued credit does not prove that the item has full resale value. If the return becomes an exchange, retain the replacement product and any additional amount the recipient pays as separate components of the same case.

Prevent a second remedy on the original order

Update the shared return record so online support, the retail store and the original purchaser's service team can see that the item has already been settled. Restrict access according to role while retaining enough internal history to avoid another refund. Confirm that any payment-provider action and stored-value issuance are consistent with the approved result.

At month end, reconcile return-related value issued to recipients with the corresponding customer adjustments and recovered goods. Investigate cards issued without a matching return and returns marked settled without successful credit issuance. The complete trail should show the original purchaser, the authorized recipient of the remedy, the amount settled and the final product disposition.
