Begin with the approved payroll register
The payroll register explains what employees earned and what was withheld. The bank statement explains when money moved. Obtain both, along with the provider's funding report and any separate tax, benefit, or service-fee details. A single debit may combine amounts that belong in several expense and liability accounts.
Record the pay period, payment date, entity, and payroll run reference. Keep regular and off-cycle runs identifiable. If the provider collects funds before employees are paid, preserve that timing instead of assuming the debit date is also the date every obligation was settled.
Build the gross-to-net calculation
Suppose an illustrative payroll contains $20,000 of gross wages, $4,000 of employee tax withholding, and $1,000 of employee benefit deductions. Net employee pay is $15,000. Employer taxes and employer-funded benefits are additional components, not deductions from the employee's gross wages in this example.
The $5,000 withheld still needs to reach the appropriate recipients through the agreed process. Recording only $15,000 of salary expense would omit part of the wages. Recording the gross wages and then treating all remittances as new wage expense can duplicate costs. Have the accountant approve the journal structure and account mappings.
Match each funding component to its settlement
Compare the provider funding total with bank debits and identify what it covers. Tax funding, employee pay, benefits, and processing fees may settle separately. Keep amounts funded but not yet remitted explainable through the relevant clearing or liability schedule.
The IRS distinguishes employment-tax deposits from return reporting. A payroll report showing a liability does not prove the required deposit was made. Retain the evidence appropriate to the employer's arrangement and confirm responsibilities with the provider rather than relying only on a completed-run status.
Review the balances left after payday
Reconcile payroll clearing, taxes payable, deductions, and other relevant accounts to the supporting reports. Investigate an unexplained residual even when every bank debit has been matched. A balance might represent a legitimate pending remittance, a failed payment, or a duplicated journal.
Keep employee-level information restricted to people who need it. The close packet can show a supported summary while the detailed register stays in approved secure storage. Save the mapping and reconciliation so the next payroll run follows the same controlled process.
