List commitments in their original currency
Record supplier invoice, currency, amount, deposit, balance payment date, terms, and expected shipment. Keep the original-currency schedule even when management reports in another currency.
Identify which amounts are committed and which remain quotes. A purchasing forecast should not give an unaccepted quote the same status as a signed order with a nonrefundable deposit.
Translate cash using a visible assumption
Show the exchange-rate assumption and conversion fees used for planning. Update it when payments are made and retain the actual rate and bank evidence.
For illustration, a €50,000 payment modeled at $1.10 per euro requires $55,000 before fees. At $1.15 it requires $57,500. The $2,500 difference affects cash even though the supplier's euro invoice did not change.
Separate accounting and planning rates
Have the accountant apply the approved foreign-currency policy for recording transactions and remeasuring balances. A forecast rate is a management assumption, not automatically the rate used in the ledger.
Keep any financing or hedging arrangement subject to the appropriate specialist review. Do not assume a product labeled currency protection eliminates every cost or timing risk.
Include the rest of the shipment
Model freight, duties, receiving, warehousing, and the timing of customer collections. A favorable exchange rate may be outweighed by a delayed shipment or higher transport cost.
Connect the cash schedule to the landed-cost and inventory record under the applicable accounting policy. Preserve the allocation basis for costs covering multiple products.
Review exposure before the payment date
Identify upcoming currency payments, available funds, payment approvals, and any changed supplier terms. Test a relevant rate or timing downside when the amount could affect operating obligations.
After settlement, reconcile the bank amount, fees, and ledger treatment. Retain the forecast-to-actual explanation. The company should see which currency commitments remain and how their cash cost could change before approving the next order.
