Reconcile Indian non-salary TDS for Form 140 and older Form 26Q periods

Match deductions, tax deposits and recipient records while keeping Form 140 periods separate from earlier Form 26Q statements and corrections.

Identify the deduction period before selecting the form

India's 2026 income-tax transition makes the underlying payment or credit event essential. The Income Tax Department's general transition rule uses whichever occurs earlier: credit or payment. An event through March 31, 2026 falls under the old Act; an event from April 1 falls under the new Act. A late deduction or deposit does not shift an earlier obligation into the new regime.

Form 140 is the quarterly statement for relevant non-salary payments to resident deductees under the new rules; Form 26Q remains relevant to earlier periods. For correctly timed deductions, the January–March 2026 quarter uses the older form and April–June uses the new one. Check the governing event before selecting the form for a late deduction.

Label the working file with the entity, quarter, applicable year convention and form. Keep corrections to older statements separate from current deductions. Have the tax preparer confirm the payment category and governing provision before carrying forward an old section code or reporting template.

Build the recipient detail from the payment evidence

For each deduction, retain the payee's verified PAN, invoice or payment reference, gross amount, relevant transaction date, deduction date, tax amount and reviewed category. Identify reversals and later adjustments explicitly. A vendor's display name is not sufficient to distinguish two legal payees or a changed tax identity.

Reconcile the detail to the withholding payable account. For illustration, an approved population contains INR62,000 of deductions while the ledger shows INR67,000. Investigate the INR5,000 difference before assigning it to a deposit. It could be an earlier-period liability, a duplicate journal or an omitted payee line; each explanation produces a different correction.

Mark amounts awaiting a tax decision separately. This guide does not supply withholding rates or determine which payment is subject to deduction. The reconciler's job is to give the preparer a complete population with evidence for the classification and calculation already approved.

Allocate deposits without using the same payment twice

Create a deposit register from the actual challan evidence. Preserve its identifiers, payment date, year, amount and the statement lines to which it has been allocated. Compare the available balance with the proposed allocation before filing. A bank debit establishes cash movement, while the tax record establishes the deposit details used in the statement.

Retain an explanation for every unallocated balance and every deduction still awaiting deposit. Do not force totals to agree by changing payee amounts. Where a challan itself is wrong, use the appropriate correction process: the department says its ordinary e-Filing challan-correction facility excludes TDS/TCS challans, which require TRACES or the Assessing Officer.

Keep the filed statement and subsequent corrections connected

Save the approved recipient schedule, deposit allocation, submitted file and acknowledgment. Check processing status and unresolved defaults after submission. A review is incomplete when the team has a receipt but has not checked whether the deductee information was processed as intended.

Form 140 cannot be edited after submission; its FAQ describes a correction statement after the previous statement has been processed. Preserve the original and corrected versions with a change log. Verify the correction rules for the actual form and year, then confirm that the amended allocation and recipient details agree with the books.
