Intercompany cash transfers: the documents behind movement between entities

Record the purpose, authority, terms, bank evidence, and matching ledger entries before treating group cash as freely interchangeable.

Define the transfer's purpose

Identify the sending and receiving entities, amount, currency, date, and reason. The transfer might be a loan, contribution, reimbursement, settlement, or another transaction. Ask the accountant and relevant advisers to assess its nature.

Verify authority and any restrictions before moving funds. Common ownership does not eliminate the legal and contractual boundaries between entities.

Preserve terms and approval

Keep the agreement or approved basis, repayment terms where relevant, allocation support, and authorization. If the amount settles an earlier balance, reference the transactions being cleared.

Avoid describing every movement as a temporary loan without considering the actual facts. The term in a bank memo should not replace the approved accounting conclusion.

Match both sides

Record corresponding entries in each entity and reconcile them by transfer reference. Compare dates, currencies, and amounts, including bank fees or conversion differences.

For illustration, one entity sending $10,000 while the other receives $9,970 after a $30 fee needs an explanation for the difference. Netting the mismatch into an intercompany balance without support hides the cost.

Include the cash timing

Update each entity's cash forecast, not only the consolidated total. The transfer can leave one entity short for payroll even when total group cash does not change.

Distinguish approved, initiated, pending, and cleared transfers. A scheduled movement should not be treated as funds available at the receiving bank until its status supports that assumption.
