Match the authorization to the intended action

Before signing, identify whether the recipient needs to inspect tax information or represent the taxpayer before the IRS. Form 8821 authorizes specified access to information but does not authorize advocacy or representation. Form 2848 is used to authorize an eligible individual to represent the taxpayer within its scope.

Ask the responsible professional to explain why the selected form fits the work. A request to retrieve a transcript and a request to negotiate a disputed tax matter can require different authority. Keep the explanation with the form so the company knows what permission it granted.

Confirm the taxpayer named on the authorization and the signer's authority for that entity. A parent company's officer or an owner's personal tax authorization should not be assumed to cover another taxpayer's records. Resolve that question before sending sensitive identification documents.

Specify the matter, form and periods accurately

Compare the authorization's tax matters with the actual notice, return or transcript request. The instructions require specific tax information and periods; general wording such as 'all taxes' or 'all years' is not sufficient. Distinguish income-tax years from quarterly employment-tax periods.

For a fiscal-year business, use the period format required by the form's instructions. A calendar-year label can point to the wrong return. Short periods and employee-plan matters also need their applicable details, so give the preparer the underlying filing record rather than an informal year description.

Include only the periods and matters needed for the authorized task and any justified continuing work. Review future periods under the current recording limits. A broad entry intended to avoid later paperwork can exceed what the company intended or fail to be recorded as expected.

Check named recipients and existing authority

Verify the representative or designee names and the requested notice-copy options. Identify who should receive agency correspondence and who will monitor it. Granting access does not establish that someone has accepted responsibility for every notice the business receives.

Review the effect on prior authorizations before submitting a replacement. The Form 8821 instructions describe automatic revocation and retention procedures, with special-use exceptions. Form 2848 has its own provisions. Ask the professional which existing authorizations should remain and attach the required supporting copies where applicable.

Keep a register showing the taxpayer, recipient, matters, periods, date signed and current status. If different advisers handle payroll and income-tax issues, that register helps avoid accidentally disrupting one engagement while updating the other. It should reflect the actual filed forms, not just an internal access preference.

Verify processing and close authority deliberately

Use the authorized submission method for the form and signature type. Retain the submitted copy and delivery evidence, then confirm the representative can access or act on the intended matter. A signed PDF in the company's folder does not prove the IRS recorded it.

If access fails, compare the rejection or account issue with the taxpayer details, form numbers and periods before signing a broader authorization. Correct the actual defect. Avoid sharing company login credentials as a workaround for an unprocessed authorization.

When the matter ends or the recipient changes, review whether authority should be revoked using the applicable instructions. Preserve the revocation record and any continuing authorization. The company should be able to identify who still has tax-information access or representation authority after the original task is complete.
