Establish what the customer pays for
List each customer's recurring service, covered users or devices, contract dates, included support, pass-through products, and out-of-scope work. Keep amendments and pricing changes with the billing record.
An invoice template may continue charging a discontinued device or omit newly covered users. Reconcile the operational coverage record with the billed units before interpreting revenue trends.
Separate service and resale economics
Identify recurring service fees, software resale, hardware, setup, and project work. Ask the accountant to assess presentation and revenue treatment under the applicable policy.
For management reporting, keep direct supplier costs and staff delivery effort traceable. A high software pass-through volume can raise total revenue without improving service contribution.
Reconcile recurring charges
Compare covered units, customer rates, vendor bills, discounts, credits, and invoices. Review canceled subscriptions and supplier charges that persist after a customer leaves.
For illustration, a customer billed for fifty seats while the supplier charges for sixty creates a margin difference worth explaining. It may reflect a timing issue, internal users, or a missed cancellation; the source record should establish the cause.
Review delivery capacity and exceptions
Compare support time and contractor costs with the agreed service scope. Identify unusually heavy customers, unapproved projects, and work promised without a billing decision.
Keep time allocations recognizable as management estimates where precise measurement is unavailable. Avoid turning a convenient allocation into a claim of exact customer profitability.
Use the close for a commercial decision
Review collections, contract renewals, supplier commitments, and expected support workload. Decide whether the issue requires scope clarification, pricing, staffing, or a vendor correction.
Retain the customer bridge and approved changes. The report should explain recurring revenue, direct costs, and unresolved billing differences so the team can act before another renewal locks in the same economics.
Before a renewal, compare the current vendor commitment with the proposed customer term. If the supplier contract lasts longer than the customer contract, show the remaining cost exposure and identify who can approve that mismatch.
