Who funded the marketplace coupon? Reconcile the campaign agreement

Separate the buyer's discount from the seller's agreed contribution and any marketplace funding before explaining a promotion payout.

Read the funding agreement before classifying the discount

A buyer's coupon shows the reduction in the checkout price. It does not, by itself, establish which business bears that reduction. Retrieve the accepted campaign terms, eligible listings, campaign dates and seller contribution. Identify any funding cap, exclusions or conditions that affect what the marketplace owes. Keep that agreement with the settlement evidence rather than relying on the campaign's marketing name.

eBay's pricing terms distinguish coupons funded by eBay from coupons funded wholly or partly by the seller. The terms also address fees separately. Use the particular event agreement and transaction records to establish the result for your campaign; a platform-funded label is not enough to infer a full reimbursement or a particular fee base.

Build the order-level funding calculation

For each eligible order, retain the pre-discount item amount, buyer discount, seller-funded share, expected marketplace contribution and actual settlement entries. Record the funding currency and the event identifier. If the platform reports funding in a separate adjustment batch, preserve the link to the orders that earned it instead of treating the batch as unrelated income.

Consider a hypothetical agreement for a $100 item with a $15 buyer discount. The contract assigns $5 to the seller and $10 to the marketplace. The buyer pays $85, and the expected amount before fees is $95 if the seller qualifies for the full $10 contribution. A settlement of $85 requires investigation of the missing funding; it does not prove the seller agreed to a $15 promotion cost.

That example describes a cash entitlement calculation. Have the accountant determine the appropriate revenue, discount and funding presentation under the actual arrangement. Do not create a receivable merely because the promotion plan expected support: confirm that the qualifying conditions have been met and document disputed amounts separately.

Explain exclusions and later reversals

Review orders outside the eligible dates, excluded products, funding exhausted by a cap and customer cancellations. A campaign total can appear short because some advertised orders never qualified. Reconcile the approved eligibility rules to the order population before escalating a settlement difference. Retain the rule version used when customers purchased.

Link refunds and contribution reversals back to the original funded orders. A later debit may recover marketplace support after a return, reverse an earlier error or reflect a separate charge. These events have different effects on campaign profitability. Avoid spreading all later adjustments across current sales merely because they arrive in the current payout.

Close the campaign with an unresolved-funding schedule

Report eligible funding earned, amounts received, reversals and remaining claims, with supporting order IDs and the date each claim was submitted. Assign responsibility for following the marketplace's actual dispute procedure. Keep the campaign open operationally while a material entitlement remains unresolved, even if the customer-facing offer has ended.

Use the verified seller contribution in the campaign margin review, alongside fees, product cost and fulfillment. Show disputed support separately so management can see the result both with and without recovery. Before joining a similar campaign, compare the signed funding terms with the way the last event actually settled and clarify any recurring exception.
