Read the award before building the report

Record the grantor, agreement, amount, period, payment terms, conditions, restrictions, reporting requirements, and allowed costs. Ask the accounting reviewer to assess the recognition and classification under the nonprofit's reporting framework.

An expected award, signed conditional award, and received unrestricted contribution can represent different positions. Keep their status visible instead of merging them into one funding total.

Connect program spending to the ledger

Use reviewed project or fund codes for eligible costs, supported by payroll allocations, invoices, and other evidence. Explain allocation methods for staff and shared costs.

The IRS requires charitable organizations to keep appropriate records. The specific grant agreement and accounting policy determine the additional detail needed for this award.

Forecast reimbursement timing

For reimbursable awards, model approved costs, submission dates, review time, and expected cash separately. A program can incur costs before the grantor releases money.

For illustration, $25,000 of eligible monthly spending reimbursed sixty days after submission creates a funding interval the nonprofit must cover. The forecast should show that interval rather than treating the budgeted award as immediate bank cash.

Distinguish restricted and operating funds

Show which cash or balances are available for general obligations and which are limited by the arrangement. Obtain reviewer advice where restrictions and accounting classification are uncertain.

Do not assume a large total bank balance permits spending on any program. Keep the grant agreement and relevant approvals available to the manager making the payment decision.

Reconcile reports before submission

Tie grantor reports to the reviewed cost schedule and ledger. Check duplicate allocations, dates outside the award period, and unsupported spending. Assign missing evidence an owner.

Retain submitted reports, approvals, payment evidence, and unresolved differences. Review the remaining award and program commitments with management so the report explains both compliance with the grant and the cash needed to keep delivering the work.
