Identify the accounting problem
Controller support is useful when the company needs ownership of accounting quality, policies, review, and the close. Describe the recurring issue: unexplained balances, late reporting, complex contracts, inconsistent treatment, or a growing team needing oversight.
Keep the problem distinct from forward-looking financial planning. A controller may support forecasts, but the engagement should state whether CFO work is included.
Define preparation and review boundaries
List who enters transactions, prepares reconciliations, maintains schedules, reviews adjustments, and releases statements. The controller needs access to the source and workpapers used by the bookkeeping team.
A proposal that promises review without specifying what is reviewed leaves the company's accounting risk difficult to assess.
Request policy and exception ownership
Name the policies needing assessment, such as revenue, inventory, prepaids, capitalization, intercompany activity, or foreign currency. Ask which specialist handles judgments beyond the assigned controller's expertise.
For illustration, a recurring large adjustment to deferred revenue may need a contract and billing review, not simply another monthly journal. The engagement should include the investigation and documented conclusion where agreed.
Set close and control deliverables
Request a close calendar, reviewed balance-sheet package, adjustment log, open-items list, and relevant control improvements. Agree cadence and internal input deadlines.
Define which payment and access controls the controller advises on and which remain management responsibilities. Accounting review should not silently grant authority to move money.
Assess the first engagement period
Use concrete acceptance criteria: material balances explained, a reliable close process, documented policies, and unresolved issues assigned. Request named coverage and an escalation path.
Compare the service against the actual capacity needed each month. Retain workpapers and policies in company-controlled systems. The value should remain available between meetings and after the individual reviewer changes.
Ask how the reviewer handles disagreements with the preparer and who approves the final accounting conclusion. Retain that escalation process in the engagement terms so a material issue does not remain unresolved between two capable providers.
