Start with the agreement and tax classification
Identify partners, ownership changes, governing agreements, and the entity's tax treatment. A business formed as an LLC can be taxed in different ways, so state-law labels do not establish the return or owner schedule.
Ask the tax preparer which capital, basis, and other schedules are required. These can answer different questions and should not be treated as interchangeable without review.
Record owner movements separately
Track contributions, distributions, loans, repayments, reimbursements, and other partner payments. Link each movement to bank evidence, approval, and its agreed nature.
Do not record all money going to partners as expense or all money coming from them as revenue. The underlying transaction determines the appropriate treatment.
Preserve allocation evidence
Provide the agreement, approved changes, accounting results, and records the preparer needs to assess allocations and partner payments. Avoid applying a convenient ownership percentage when the actual terms require review.
For illustration, two partners contributing different amounts during the year need a record of the dated contributions even if profits are allocated under another approved arrangement. A single net owner account obscures that history.
Reconcile books and tax schedules
Compare beginning balances, income or loss allocations, contributions, distributions, and other adjustments. Explain book-to-tax differences and prior-year corrections.
Have the preparer review changes in partners, transfers, redemptions, and unusual payments. Those events can create tax and legal questions beyond ordinary ledger maintenance.
Deliver the year-end owner package
Keep partner-level schedules, source transfers, agreements, approvals, prior returns, and outstanding questions together. Protect taxpayer information through appropriate access controls.
After filing, retain final schedules and approved bookkeeping adjustments. The next year's team should be able to roll the record forward without asking partners to reconstruct each transaction from personal bank history.
Confirm that each partner receives the appropriate reviewed tax information through a secure channel. Keep corrections linked to the original version and identify their effect on the company schedule before sending a replacement to the partner.
