Track payment reserves without treating held cash as a loss

Maintain a reserve schedule that separates new holds, releases, disputes, and expected availability while keeping uncertain release dates out of committed cash plans.

Obtain the terms for your account

A payment reserve is a hold on funds, not automatically an expense or a completed loss. Keep the processor's notice explaining the amount or percentage, period, review conditions, and any requirements for release. The accounting treatment should reflect the actual rights and circumstances.

Shopify distinguishes reserved funds from the nonreserved payout balance. Its documentation also explains that reserves can be reviewed or changed. Use the terms and current status of your own account rather than assuming another merchant's release experience applies to you.

Maintain a movement schedule

Start with the prior reserve balance, add new withholding, subtract releases, and identify any applied losses or other adjustments separately. Match transactions to orders where references exist, but allow documented account-level adjustments that are not tied to a single order.

For an illustrative month, a $5,000 opening reserve plus $2,000 of new holds less $1,500 of releases leaves $5,500 before other adjustments. If the processor reports $5,300, investigate the $200 difference. Do not record it as a fee merely because that makes the schedule agree.

Age balances by the terms that govern them

Where a reserve operates on individual transaction holding periods, track cohorts by their expected eligibility dates. For a fixed reserve or account review, document the review date and conditions instead. An aging schedule should reflect the actual arrangement rather than impose a rolling-release pattern on every account.

Separate eligibility for release from the date funds are expected in the bank. A released balance may still pass through the processor's payout cycle. Reconcile the release transaction to the later payout so it does not appear as new sales when it finally arrives.

Use cautious availability assumptions

Keep held funds outside immediately available operating cash. In the forecast, distinguish a confirmed scheduled payout from an estimated reserve release. Test the effect of a delay when payroll or supplier payments depend on those funds.

Review the reserve balance with any open disputes, refunds, and processor notices. If recovery becomes uncertain, the accountant may need to assess the balance rather than carry it indefinitely at the original amount. Preserve the evidence and review date, and assign one person to follow up with the processor until the status is resolved.
