Agree which year-end deliverables, employee records and later corrections remain with the departing payroll provider before recurring service stops.

List work that happens after the final payroll

Canceling recurring processing can leave annual reporting, employee access and correction work unfinished. Ask the outgoing provider to list every later service it proposes to perform for the periods it handled. Identify the entity, population, deliverable and fee. Do not assume an annual-form charge in a prior invoice establishes the remaining responsibility.

Give the incoming provider the same list and ask which tasks it has accepted. Avoid duplicate preparation or a gap created by both teams expecting the other to act. An internal payroll owner should reconcile the two positions before the cancellation becomes effective.

Check the contractual service boundary

Ask whether year-end work is included after termination, available only under a continuing subscription or priced as a separate service. Confirm any requirements for data availability, account access and funding. Keep the actual product terms and accepted agreement with the exit record.

IRS guidance distinguishes the payroll acts a provider or reporting agent may be authorized to perform. Match the remaining assignments to the actual arrangement and required authority. Ending a commercial subscription should not be treated as proof that every filing responsibility or authorization has automatically transferred.

Agree how employees obtain their records

Determine which records remain accessible through the old portal, for how long and under whose subscription. Ask how current and former employees obtain documents after access ends. The company needs a workable route that does not depend on a departed administrator's personal login.

Specify the export package and verify it can be read before access is removed. Include the relevant payroll reports and source history the company is entitled and required to retain. IRS retention guidance provides particular rules for employment-tax records; obtain advice on the full retention needs of your business instead of using the vendor's portal period as the policy.

Protect employee information during the transfer. Assign authorized recipients and approved storage. A broad archive sent to a replacement provider may include information it does not need. Keep the ability to answer future employee questions without making the entire payroll history accessible to every finance user.

Buy a defined route for later corrections

Ask who investigates an error discovered after cancellation and who prepares any required correction. Distinguish the technical work, authorization, submission and employee communication. The appropriate correction depends on the facts and should be directed by qualified payroll or tax professionals.

Agree availability, fees and evidence requirements for the outgoing provider's assistance. A promise to help later should name a contact route and the records it will retain. If the provider will only supply historical information, make sure another professional has accepted the remaining work.

Close with a calendar and responsibility record

Record the final processing period, remaining annual tasks, access expiration, authorized filing roles and later support conditions. Have both providers confirm the assignments relevant to them. Review the final invoice for prepaid services, separately billed year-end work and any agreed credit.

Confirm whether the departing vendor can retain an administrative contact for these tasks without keeping unnecessary payroll-processing authority active.

Keep the tracker open until the accepted deliverables are received and remaining issues are assigned. Cancellation is one commercial event in a longer payroll handoff. The company should be able to answer who will produce each remaining record and how it will obtain help if a historical question emerges after the recurring fee has stopped.
