Release preliminary actuals with specific limits

Decide what an early management report can support while accounting work remains open, and show exactly how the final release may change.

Describe the unfinished work beside the affected number

An early report is useful when readers can identify which amounts remain provisional and what decisions those limitations affect. Name the unfinished reconciliation, estimate, or classification and the statement lines it could change. A general draft watermark gives status but does not tell a manager whether hiring, spending, or performance conclusions are reasonably supported.

State the source cutoff and the version of the ledger. Identify any schedules still based on estimates or prior-period assumptions. Where a reasonable range can be supported, show it with the accounting owner's approval. Where the potential effect cannot yet be estimated, say that directly. Do not substitute an invented range merely to make the report look complete.

Agree the intended decision before circulation

Ask the intended recipient what they need the report to decide. An operating update may tolerate a pending classification that leaves total profit unchanged. A debt test, distribution decision, or external representation may depend on precisely that classification. Route those uses to the responsible accountant and the relevant agreement or legal requirement.

For a hypothetical early report, a department allocation of $40,000 remains under review while total company expense is settled. Management can see that consolidated profit is unaffected by this open item, but department profitability remains provisional. If the underlying expense amount is also uncertain, that broader limitation must be disclosed separately. Avoid describing all open items as presentation-only.

Use a status table with practical consequences

Keep the exception list short enough to read and specific enough to act on. The reporting owner should approve which unresolved matters accompany the early release. Include a completion owner and expected next update, while distinguishing an internal target from an externally agreed deadline.

Use a status table with practical consequences
Open matterInformation to give the reader
Estimated expenseAffected line, basis of estimate, and evidence still expected
Unreconciled balanceAmount under investigation and possible dependent figures
Pending classificationSubtotals or ratios that may change
Missing entity submissionScope omitted and whether any group total is incomplete
Unreviewed disclosureUse restriction until the responsible reviewer approves it

Keep the report's description within its actual status

Do not label a partial internal pack as a complete set of framework-compliant statements unless that description is supported. IAS 1 prohibits describing statements as IFRS-compliant unless they meet all applicable IFRS requirements. Other reporting bases and external uses require their own assessment by the responsible professional.

If a lender, investor, or other external party requests the early figures, establish what form of information they require and who may approve its release. A recipient's willingness to accept a spreadsheet does not establish that it meets a contractual reporting obligation. Preserve the scope and limitations in the version they receive.

Replace the early report with an explained final version

When the close finishes, bridge the preliminary figures to the final result. Identify changes from completed work, new information, and corrected errors. Tell the original recipients which decisions or conclusions may be affected. A second attachment with the same file name can leave someone continuing to use the earlier amounts.

Retain both versions and the reconciliation between them. Review recurring preliminary-to-final differences to improve the early report's assumptions and timing. If a major unresolved item repeatedly prevents a reliable decision, move that work earlier or change the report's promised delivery. The next early release should reflect what the team has learned about its actual uncertainty.
