Preorders and backorders: the finance records behind unshipped orders

Track preorder cash, unshipped quantities, promised dates, supplier commitments, customer changes, and refund exposure before relying on sales or available cash.

Put the unshipped order beside the cash it created

Preorder collections can increase the bank balance before the business has a product ready to deliver. Keep those receipts connected to the orders still open, the goods committed to them, and the customer's right to cancel or receive a refund. Cash reporting becomes less useful when it loses that connection.

A preorder is accepted before the stated product availability; a backorder reflects an order that cannot currently be filled from available stock. The labels alone do not decide accounting. Record the actual commercial terms, payment status, promised shipping date, fulfillment status, and changes communicated to the customer.

Use an order-level register rather than a single total of outstanding sales. A fully paid order, a partially paid order, and an unpaid reservation create different cash and collection questions. Keep them distinguishable before the team starts allocating stock.

Retain the shipping promise and every approved change

For covered U.S. merchandise orders, the FTC's Mail, Internet, or Telephone Order Merchandise Rule requires a reasonable basis for shipping representations. Its guidance also addresses delay notices, customer consent, cancellation, and refunds when the original timing cannot be met. Apply those requirements to the actual order and sales channel; do not treat a website's preorder label as an exemption.

Retain the shipping representation the customer saw when ordering. If the date changes, keep the notice, its delivery record, the customer's response where required, and the resulting order status. The current product page may no longer show the promise that applied to an older order.

Have customer service and fulfillment share changes with finance. A customer cancellation should trigger an identifiable refund task and release any stock commitment under the approved process. A revised ship date should update the delivery forecast without erasing the original commitment or communication history.

Build a reconciliation by order status

Start with opening unfulfilled orders, add new orders, and subtract fulfilled, canceled, or otherwise resolved quantities. Separate refunds requested from refunds successfully completed. A payment processor can show the original receipt while a refund instruction is still pending, so the cash and order records need a common reference.

Keep the revenue conclusion separate from order labels

IFRS 15 recognizes revenue when the relevant performance obligation is satisfied through transfer of the promised goods or services. Other reporting frameworks require their own documented assessment. A platform status called paid, fulfilled, or completed should be mapped to that assessment, not used as a substitute for it.

In a hypothetical example, 100 customers pay $120 each for identical goods. Sixty orders reach the transfer point required by the company's reviewed revenue policy; 40 remain unfulfilled. Assuming no other terms or adjustments, $7,200 relates to the satisfied orders and $4,800 remains associated with the undelivered obligations. The $12,000 receipt total does not change merely because the delivery schedule changed.

The example deliberately assumes an agreed transfer point. Shipping, customer receipt, and acceptance can differ under the arrangement. Give the accountant the contract and fulfillment evidence, especially for international shipments, installation promises, or goods that the customer can reject before acceptance.

Connect orders to supply without treating deposits as stock

Map unfilled quantities to stock on hand, goods in transit, or supplier orders. Record whether the same stock has been promised to another channel. A purchase order for 500 units does not prove that 500 accepted units will be available on the promised customer shipping date.

Keep supplier deposits separate from confirmed inventory receipts. IAS 2 describes inventory cost and measurement, but payment timing alone does not establish the physical goods or their condition. The close needs the evidence supporting ownership, receipt, quantities, and any valuation issue under the company's policy.

Investigate supply risks by product and order cohort. A substitute component, partial shipment, damaged batch, or missed inspection can change the delivery plan. Finance needs the revised quantity and timing to assess refunds and additional cash needs, rather than a generic note that production is delayed.

Review the oldest open commitments first

At each close, review orders with missed dates, no recent supplier confirmation, unresolved customer responses, or pending refunds. Assign the next action to a named owner. Keep the customer's communication deadline visible where applicable instead of waiting for the normal monthly reporting cycle.

Before using preorder collections to fund another purchase, show the remaining fulfillment cost and plausible refund requirement beside available cash. The review should end with an updated order register, a supported delivery plan, and completed or assigned customer actions. Those records give the next reporting period an explainable starting point.
