Products used as samples or demonstrations need an inventory exit record

Track sample dispatches, demonstration units and returned loan stock so promotional use is distinguishable from sales and unexplained shrinkage.

Decide whether the product is consumed or expected back

A product given away as a sample has a different physical outcome from a demonstration unit loaned to a sales representative. Record the purpose, quantity, recipient or responsible employee and expected return where applicable. The accountant can then assess classification using the actual arrangement. Avoid treating every item outside the warehouse as a missing unit or an ordinary customer sale.

Shopify's inventory adjustment history records who or what changed quantities and includes promotional-use reasons. Use an appropriate supported reason or movement record in the system that owns inventory. A general count correction may repair the total while hiding the business decision that consumed the stock.

Preserve product identity and approval

Record the real SKU, variant, lot or serial reference where relevant. A generic sample line can prevent the warehouse from reducing the correct stock and make product-level cost reporting incomplete. Link the issue to the approved campaign, event, customer evaluation or demonstration assignment. Record shipping and special packaging costs separately.

For a hypothetical event, 120 samples carried at $3 each consume $360 of product cost. If staff return 25 unused units in saleable condition and the approved process restores them at that cost, net product use is 95 units or $285. The example excludes transport and handling and assumes the returned units support that value.

When a full-size product is opened to create smaller samples, document the conversion and actual yield. Ten bottles do not automatically equal a planned number of usable samples if filling waste or damage occurs. Keep that variance with the activity instead of leaving it for the next inventory count.

Maintain custody for reusable demonstration units

For goods expected back, use a custody register with the holder, location, issue date and expected return. Review overdue units and transfers between employees or events. A product can remain owned by the business while unavailable for sale, and its condition may change through use. Preserve the operational status needed for the accountant's valuation or asset review.

Inspect returned units before releasing them as ordinary stock. If the business sells used demonstration goods, retain the condition disclosure, approved price and product history. Do not record a return to full-value stock solely because an employee checked the item back in. A lost or damaged demonstrator needs its own documented outcome.

Connect spending to the intended commercial question

Compare sample use with the campaign or customer opportunity it supported, while avoiding unsupported claims that every later purchase was caused by the sample. Keep attributable orders, known recipients and untracked distribution separate. The useful first measure may be cost per documented evaluation or event attendee rather than a speculative revenue return.

At month end, reconcile permanent issues, reusable units still in custody and inspected returns to inventory. Give finance the approvals and quantities behind the entries. Review recurring unexplained adjustments with marketing and sales so the next campaign reserves enough stock and records its use at dispatch, instead of requiring warehouse staff to reconstruct it during a count.
