Record what the business received when value was issued
A gift-card balance alone does not explain its origin. The business may have received customer cash, settled a return, awarded a promotion or replaced a lost card. Record the issue reason and supporting transaction when the card is created. Ask the accountant to approve how each arrangement reaches the books before those balances are combined in a monthly export.
Shopify allows gift cards to be created without receiving payment and describes uses including promotions and refunds. It also supports selling gift-card products. The same redemption mechanism can therefore carry different commercial histories. A report of newly created face value cannot be treated as a report of new cash receipts without examining those origins.

Make the reason specific enough to reconcile
For a paid card, link the completed payment and order. For a return-related card, link the original purchase, approved credit and customer settlement decision. For a promotional award, retain the campaign, eligibility evidence and approver. For a replacement, identify the old card and supported remaining balance so the two records cannot create duplicate spendable value.
Keep a concise set of issue reasons that employees can apply consistently. A label such as miscellaneous credit defeats the purpose when it covers both a customer refund and a marketing award. Allow a descriptive note for unusual cases, then have finance review new recurring reasons before the integration assigns them to a default account.
If a promotion is tied to another purchase, preserve that condition. The accountant may need to assess the complete customer arrangement rather than treating the award as unrelated free value. Expiry, redemption restrictions and unclaimed-balance treatment require review under the applicable rules and cannot be inferred from the campaign name.
Compare redemptions using their original populations
Measure redemption by issue reason and campaign without losing the common register total. Paid-card redemptions answer a customer-obligation question. Promotional redemptions also help assess the cost and response to a campaign. Combining the two can make a successful paid-card program appear to be an expensive promotion, or make a promotion look as if it brought in cash at issuance.
In a hypothetical period, the business issues $5,000 of purchased cards and $800 of promotional cards. The created face value is $5,800, while the cash associated with those issuances is $5,000 before processing effects. If $300 of the promotional cards is redeemed, preserve which orders used that value and what goods were supplied. The financial recognition follows the accountant's policy, not this operational arithmetic.
Review adjustments and close the register
Reconcile opening value, new issuance, redemption, refunds to cards and supported adjustments to closing value. Keep the reconciliation in the card's currency and retain the applicable conversion records for the ledger. Investigate manual adjustments by their approval and reason. A promotional budget approval does not authorize changing an individual customer's paid balance.
At campaign review, separate issued awards from awards actually redeemed and from any amounts still available to customers. Avoid describing unused value as profit or expired obligations without the required accounting and legal assessment. Retain the origin fields through exports and platform changes so the person reviewing a balance next year can still establish why it was issued.
