Review personal information before a company filing becomes public

Check each required address and attachment against official filing instructions before submitting personal details into a public company record.

Inspect the exact document that will be filed

Before authorizing submission, ask the filer for the completed instrument and every attachment. Identify the individuals named, the addresses used and any personal material included. Review the public filing separately from confidential onboarding information the provider may legitimately collect for its own process.

Use the instructions for the actual jurisdiction, form and entity. Texas's foreign-corporation application warns that filed documents are public records. California also explains that an individual agent's name and street address, and corporate addresses supplied in filings, are public. A filing-service privacy description should be checked against those official requirements.

Use permitted addresses field by field

For governing-person addresses on Texas Form 301, the instructions permit a business or post-office-box address instead of a residential address when privacy is a concern. The same instructions impose different requirements on the registered office, which must be a location where service can be personally made. An option permitted in one field cannot be copied into every field.

Make a field list showing the instruction, proposed value and evidence that the company may use it. Ask the filer or counsel about an unclear field before submission. Never provide a fictitious address or omit required facts to produce a more private-looking filing.

Remove unnecessary attachments from the public package

Check whether the submission includes identity documents, personal correspondence, internal ownership schedules or other material that the filing office did not request. Keep confidential support in the appropriate restricted file. Texas's current instructions specifically warn against including personal identifying information and certain unnecessary materials with the filing.

Have the reviewer confirm what belongs in the submitted instrument and what belongs only in the provider's verification process. If an exhibit is legally required, ask counsel how to prepare it accurately with only the necessary information. Redaction should follow the receiving office's rules rather than an informal assumption.

Obtain approval of the public version

Give the authorized signer the exact final version that will be submitted. Explain any permitted address choice so the signer can verify it. Record approval and prevent later attachments from being added without another review.

If a founder uses a service address, confirm that the service permits that use and that the address satisfies the specific field. Keep the agreement in the private company record. An address offered for ordinary mail may not satisfy a physical-location or registered-office requirement.

Check the returned record and handle errors promptly

After filing, inspect the accepted document and available public image. Confirm that the submitted version is the one the state recorded. If sensitive information was included by mistake, contact the filing office and counsel promptly about the applicable correction or removal procedure; do not promise that historical public copies can always be erased.

Preserve the submission and response history in a restricted incident file where appropriate. Update the pre-filing review so later amendments and periodic reports receive the same field-level check. Privacy depends on what the company actually submits each time, including attachments added during a rushed correction.
