Inventory arrived but failed inspection: reconcile the supplier bill and quality hold

Keep physical receipt, acceptance, saleable stock and supplier payment decisions separate while a purchasing quality issue is resolved.

Record the goods that physically arrived

Create receiving evidence for the actual SKU, quantity, date and condition, then identify the portion awaiting inspection or rejected. A quality problem should not erase the fact that goods entered the building. Keep held units in a status or location that prevents unauthorized sale while preserving the quantity the business must safeguard or return.

Microsoft distinguishes arrival registration, quality inspection and product receipt, and documents inventory blocking through quality orders. These controls show why receipt and release for use can be separate events. Confirm the actual workflow in the company's system and the purchase terms before deciding what should reach inventory and payables.

Match the invoice to the disputed facts

Compare billed quantities and prices with the purchase order and receiving record. Identify whether the disagreement concerns missing units, product quality, specification or price. A bill can be arithmetically correct while some goods remain commercially disputed. Give accounts payable the accepted and disputed amounts with the responsible buyer's decision.

Do not assume that an inspection hold automatically suspends the supplier's payment entitlement. Obtain the relevant contract terms and approved commercial response. The accountant should assess what liability and inventory records are supported while the dispute continues. A payment block in software is an operational control, not a substitute for that accounting assessment.

If only part of a delivery failed, keep the accepted quantity available for normal processing where appropriate. Avoid freezing unrelated supplier invoices or releasing all units merely because part of the batch passed.

Document the agreed remedy and its cost

The supplier may agree to replace goods, provide a credit, fund rework or accept a return. Record the specific affected quantity and who pays transport or inspection costs. Keep a proposed remedy distinct from an accepted commitment. If the business performs rework, retain the approved scope and actual outcome rather than assuming every held unit will become saleable.

For a hypothetical receipt of 500 units, inspection releases 420 and holds 80. If the supplier accepts a return of 50 and authorizes repair of 30, the case needs two physical routes. The purchasing record should still explain all 500 units, while the accountant reviews the credit and rework treatment using the actual values and agreement.

Release the hold only with the inspection outcome

Require an authorized quality decision before moving repaired or accepted goods into available inventory. Match returned quantities to dispatch and supplier acknowledgment. Track promised credits until issued and applied to the correct invoice or refunded. Closing the supplier conversation is insufficient if the stock remains in quarantine or the credit never reaches payables.

At month end, list held quantities, their condition, expected recovery and unresolved supplier amounts. Age the hold from receipt and assign the next action. Repeated failures should reach the purchasing owner with the confirmed product and batch evidence so future buying decisions use the actual quality cost, not only the supplier's quoted unit price.
