Record why another unit is leaving
Create a replacement reference linked to the original order and customer issue. State whether the replacement addresses damage, a missing parcel, a picking error or an agreed product remedy. Identify who approved it and whether the customer must return the original item. The warehouse needs an authorized shipment, while finance needs an explanation for inventory leaving without a new customer charge.
Microsoft's sales-return process supports replacement orders connected to the originating return authorization, including replacements issued before an original item arrives. That relationship provides a useful control even when the business uses different software. Preserve both the operational shipping document and the reason no additional customer payment is expected.

Keep replacement activity out of paid-demand measures
Use a supported order type, reason or reporting field that consistently identifies replacement activity. Confirm how the ecommerce connector handles a zero-price replacement or an internal order. If the platform requires a price and offsetting discount, document that mechanism and check whether the sales report counts the replacement as another purchased order. A report can balance financially while overstating customer acquisition or units sold for cash.
Retain the real product SKU and quantity. Replacing the product with a generic adjustment line may simplify the customer invoice but leave the inventory system unable to reduce the correct item. Where the same replacement process also handles paid upgrades, distinguish the additional amount charged from the units supplied under the original remedy.
Ask the accountant to approve the cost classification for the applicable arrangement. A product warranty, fulfillment correction and discretionary goodwill shipment may need different analysis. The operational reason should remain available even if several reasons share one financial account.
Measure the whole cost of resolving the issue
Attach the replacement product cost, incremental packing and shipping, and any separately charged handling. Keep the original product's recovery value distinct. If the original is returned and released for resale, its supported inventory value does not automatically equal the replacement's cost or the customer's original selling price.
In a hypothetical case, a replacement costs $18, its extra delivery costs $7 and handling costs $2. The additional fulfillment cost is $27 before any original-product recovery or supplier reimbursement. If a supplier later approves a $12 credit, record that entitlement separately and reconcile its settlement. Do not reduce the cost by an unaccepted claim merely to make the case appear less expensive.
Use a closure test that includes the original goods
Confirm replacement delivery, any customer balance, the original item's expected return and the supplier or carrier claim. A satisfied customer does not prove that the warehouse recovered the original unit or that a claim was paid. Close each open obligation with evidence or an approved decision to stop pursuing it.
Review repeated replacements by the reason recorded at approval and the eventual finding. A damaged-item complaint may reveal weak packaging; a wrong-item replacement may reveal a picking-location problem. Use completed case costs in product and fulfillment analysis, while retaining the distinction between the customer's reported problem and the cause the business actually verified.
