Ask the reviewer what the claim must prove
An engineering budget does not establish a research credit. The tax reviewer should identify the relevant eligibility tests, cost categories, exclusions, and filing requirements for the company's facts. IRS Form 6765 instructions are a primary reference for the federal credit.
Keep research expense deduction treatment and credit eligibility distinct. They can involve related records while requiring separate analysis. A software development cost should not be assumed to qualify solely because of its accounting category.
Organize evidence by project
Record the business component or project, work dates, technical objectives, uncertainty being addressed, and evidence of the work performed. Preserve relevant specifications, design records, test results, and other contemporaneous material requested by the adviser.
Use factual descriptions written by the people doing the work. Avoid adding retrospective language that claims experiments or technical uncertainty without supporting records.
Link eligible costs to the work
Supply payroll records, time or allocation support, contractor agreements, invoices, and other relevant costs. Identify where services occurred and who performed them. Reconcile the total cost file to the ledger and payroll.
If staff work across several projects, explain the allocation method and retain its basis. A broad percentage assigned to all engineering payroll may need more support than the company expects.
Review exclusions and filing choices
Have the adviser assess funded research, foreign activity, related arrangements, and other limitations relevant to the claim. Confirm who prepares the form, who reviews it, and which elections or additional reporting apply.
A projected credit should remain an estimate until the analysis and filing work are complete. Use the appropriate confidence and timing in the cash forecast rather than assuming the amount is immediately spendable.
Retain a reproducible claim package
Save the technical evidence, cost reconciliation, reviewer analysis, calculation, filed forms, and acknowledgments. Identify open questions before approval.
Schedule a check during the year so missing project or payroll information can be gathered while the work is still recent. A repeatable evidence process is more reliable than asking engineers to reconstruct an entire year from memory when the return is due.
