Outsource royalty statement preparation with a contract-to-data map

Specify licensed rights, reporting definitions, source mapping, review and submission when hiring a provider to prepare recurring royalty statements.

Give the provider an interpreted reporting brief

A royalty-statement service should begin with the relevant agreements and approved interpretations of their reporting terms. Identify the licensed rights, products, territories, counterparties and periods. Have counsel resolve uncertain legal language and the appropriate accountant assess accounting treatment. The preparer should not invent a contractual definition because a source system lacks a convenient field.

Specify the statement format and recipient requirements. A licensor may need a particular product or territory breakdown that the general ledger does not contain. Ask the provider to inspect sample data before quoting recurring preparation, so missing dimensions become an explicit setup task.

Buy the mapping before the recurring report

Require a documented connection from contract definitions to source fields and calculations. Identify how the agreed reporting base treats relevant returns, credits, discounts or bundles. Management should approve the rules with appropriate advice before the provider applies them to live statements.

Ask which source systems and files are authoritative and how data completeness is checked. If a product code changes or a channel supplies a revised report, define how the mapping is updated. A reusable process needs a controlled rules register, not a fresh interpretation by each month's preparer.

Specify the statement and its supporting evidence

The deliverable should include the required statement, a reconciliation to the agreed source population and a list of adjustments or unresolved exceptions. Decide which supporting records remain internal and which must accompany the submission. Protect confidential customer or product information outside the authorized audience.

IRS electronic-record guidance emphasizes accessible, complete records. For this service, retain the data and calculation version supporting each issued statement. A later update should not overwrite the evidence showing what was originally reported and why.

Ask how corrections to earlier statements are handled. Identify who approves the revised calculation, communicates with the counterparty and assesses any contractual consequence. The provider may prepare a correction without having authority to accept a claim or negotiate a settlement.

Agree review, submission and payment boundaries

Name the company reviewer and allow enough time for it to inspect unusual items. Specify whether the provider submits statements directly and what constitutes confirmation of delivery. Keep payment authorization separate, with the company retaining its chosen controls over funds.

AICPA engagement guidance recommends clear parties and work products. Apply that to the royalty relationship by identifying the contracting client and the intended recipient, along with any limits on reliance. A prepared royalty statement is not automatically an independently assured report.

Price change events and hand over the process

Ask how new agreements, products, territories or retrospective amendments affect the fee. Separate a new mapping project from ordinary recurring preparation. If the provider receives a fixed monthly fee, define which volume and complexity assumptions support it and when additional work needs approval.

Include advances, minimum commitments or other contractual amounts in the scoping discussion when they exist. Ask who maintains the related schedule and how it connects with each statement. Do not assume the recurring fee covers that work simply because the same licensing agreement also defines the sales-based royalty.

At acceptance, trace one statement from source data through approved rules to the issued file. Include an exception and a correction. Retain the mapping, instructions and final versions in a form the company can continue using, with any proprietary-tool restrictions resolved before the service becomes dependent on them.
