Confirm the environment behind the records
Ask the integration owner to verify the source environment for the suspicious invoices. Keep their identifiers, import run and destination records together. A customer name containing 'test' is a useful clue, but the source connection and record provenance provide stronger evidence. Finance needs the environment and account mapping; secret credentials should stay with the authorized system owner.
Stripe explains that sandbox transactions simulate payment and billing activity without moving real funds. Its documentation also distinguishes the Dashboard environment from the API keys used by an integration. Selecting a sandbox on screen does not switch integration code automatically. Confirm where the imported objects came from before interpreting a simulated paid invoice as customer cash or revenue.

Trace the contaminated population through each destination
Identify the first affected import and whether the records reached only a dashboard, a revenue schedule, the receivables ledger or several destinations. Match invoice identifiers through each transformation. Include simulated payments, credit notes and subscription changes linked to those invoices, since removing the initial sale alone could leave other artificial movements in the report.
Build an exception list with source identifiers, destination identifiers, dates, currency and amounts. Reconcile its totals by reporting period. In a hypothetical incident, three simulated annual subscriptions might create an immediate bookings increase and future scheduled revenue even though the monthly revenue impact initially looks small. Check the downstream schedule as well as the report that first exposed the problem.
Agree how each affected record will be corrected
Have the controller or responsible accountant approve the correction method for posted records and affected reporting periods. An unposted import, an issued management report and a closed ledger need different handling. Preserve the original evidence and the correction reference so a reviewer can follow the change without relying on a disappearing spreadsheet row.
Coordinate the application and accounting work. A source filter can stop tomorrow's imports while leaving yesterday's balances intact. A ledger adjustment can repair a balance while an analytics refresh imports the simulated objects again. Give each destination an owner and completion check, including any customer communications accidentally generated from the imported test records.
Prove the revised import excludes the right records
Request a comparison showing the same reporting period before and after the repair. Explain the difference using the approved exception list. Check that a sample of legitimate live invoices still appears, including ordinary customers with unusual names or small amounts. A broad name or value filter can conceal real activity along with the test data.
Include a simulated invoice and a genuine live invoice in the controlled validation evidence, using an appropriate testing process. Confirm that the production report accepts only the intended source population. Where a later refresh can rebuild history, run the same reconciliation after that refresh to establish that the correction survives normal processing.
Keep the correction visible to report recipients
Identify which internal or external reports used the affected data. Give the responsible reporting owner the quantified difference and corrected version so they can decide on appropriate follow-up. Describe the actual scope: a dashboard-only incident has different consequences from simulated entries that reached the books or an investor update.
Retain the environment map, exception population, approved corrections and successful rerun together. Add a source-environment check to the import review and assign someone to maintain it when connections change. The useful control is evidence that the financial report contains the intended business activity, with a clear trail explaining any excluded records.
