Review what a sales cohort kept after refunds

Follow a defined group of orders through cancellations, returns, and completed refunds without confusing cohort performance with the current month's accounting revenue.

Define the original group of sales

Choose a cohort such as orders placed during a promotion or first purchases by customers acquired in a month. Record the date range, timezone, channels, and exclusions for tests or canceled attempts. Keep stable order identifiers so later refunds can be attached to the original population.

Distinguish a cohort report from a period accounting report. A refund this month can relate to a sale in an earlier cohort. Both views can be useful, but they answer different questions and should not be expected to produce identical monthly totals.

Follow adjustments through their actual status

Track approved cancellations, credit notes, completed refunds, pending refunds, and relevant disputes separately. Do not subtract a refund request as though cash has already been returned unless the report's definition deliberately measures the approved obligation and labels it.

Connect adjustments to their original order and components. A shipping refund, tax adjustment, or partial product return can affect different measures. Use net merchandise revenue for a merchandise comparison and explain any broader total that includes shipping or taxes.

Compare cohorts at a similar age

A new sales cohort has had less time to develop returns than an older one. Compare results after a consistent observation period where practical and label cohorts whose return activity remains incomplete. Avoid declaring the newest campaign superior because its refund window has barely begun.

For an illustrative cohort with $50,000 of initial merchandise sales and $4,000 of completed merchandise refunds, the retained amount is $46,000 under that definition. If another $1,500 is approved but pending, show it separately. Neither figure is final company profit because product costs, fulfillment, advertising, and other expenses still matter.

Use the result to investigate specific causes

Review differences by product, offer, fulfillment issue, or customer group where the sample supports a useful comparison. Check whether a policy change or improved refund processing changed timing rather than underlying customer behavior. Keep claims about causation proportional to the evidence.

Reconcile the cohort's adjustments to the operational and accounting records, then update the analysis as outstanding cases resolve. Use the completed cohort to improve product information, promotion design, or service delivery. Preserve its definition so the next review compares outcomes rather than different sets of orders.
