Obtain the preparer's defined change and effective year
Before exporting balances for Form 3115, ask the tax adviser to describe the existing method, proposed method, affected item and year of change. An accounting-software conversion or a new book policy does not by itself define a federal tax accounting-method change. The data request should follow the actual tax analysis.
The IRS explains that section 481(a) addresses duplicated or omitted income and deductions when a taxpayer changes accounting methods. The Form 3115 instructions also identify changes made on a cut-off or modified cut-off basis without the same adjustment. Have the preparer specify which treatment applies instead of assuming every change requires one opening balance.
Record the current procedure and filing route selected by the adviser. The available form instructions refer to procedural guidance that can be updated separately. This workflow supplies evidence for an authorized method-change analysis; it does not determine eligibility, consent requirements or a filing deadline from the age of the form alone.

Freeze the population at the correct measurement date
Obtain the beginning-of-year tax balances and the underlying transaction population requested by the preparer. Preserve the report date, filters, entity and account mapping. A current receivables or prepaid report may omit items that existed at the change date but were settled before the data was exported.
Link each item to its prior tax treatment and its treatment under the proposed method. Include relevant receivables, payables, inventory or other accounts only as the defined change requires. The Form 3115 instructions say the calculation must consider all relevant accounts, which can extend beyond the account whose name first prompted the change.
Keep book balances and tax adjustments distinguishable. A ledger balance may contain items already taxed, previously deducted or governed by another limitation. Give the preparer that history rather than assuming the full account balance is automatically the section 481(a) amount.

Explain each difference before netting the result
For every affected category, show the old-method amount, new-method amount and the reason for the difference. Identify whether an item would otherwise be omitted or duplicated. Preserve supporting invoices, payment dates and prior return workpapers so the preparer can verify the direction of the adjustment.
For a hypothetical schedule with $40,000 of positive components and $9,000 of negative components, the net arithmetic amount is positive $31,000. That illustration does not establish which components belong in a real method change or how long the amount is taken into income. Those conclusions come from the applicable procedure and reviewed facts.
If several changes are being requested, maintain separate calculations until the adviser confirms any required netting. The instructions describe separately stated adjustments and exceptions requiring combined treatment. Combining all differences in one worksheet before that decision can conceal which method produced an amount.

Carry the approved adjustment through subsequent returns
Have the preparer document the final adjustment, applicable recognition period and any special election. Do not apply a remembered standard spread period without checking the specific change, examination status and current guidance. Keep the computation statement and filed Form 3115 evidence with the annual tax records.
Create a schedule showing the opening unrecognized amount, portion taken into account each year and closing remainder. Reconcile each year's amount to the tax return adjustment. The underlying invoices may later enter the books or cash records, so the preparer needs the approved method treatment to prevent another deduction or income inclusion.
For a cut-off change, preserve the boundary between earlier items continuing under the old method and later items using the new method. For a section 481(a) change, retain the opening population and ongoing recognition schedule. Either way, the file should explain how the transition was implemented without losing an item between methods.
