Define the question your shipping report answers
Comparing customer shipping charges with carrier labels measures only part of fulfillment. Packaging, warehouse pick fees, address corrections, return labels, and reshipments can change the result. Decide whether the report covers postage recovery or the full cost of getting orders to customers, and label it accordingly.
Use the actual amount charged after free-shipping discounts and refunds. An order may display a standard shipping rate while the customer paid nothing because a promotion removed it. Confirm the store report's definition before exporting the total.
Match costs to the fulfilled order population
Join shipping labels and warehouse charges to order or shipment references. Keep split shipments, replacement shipments, and canceled labels identifiable. One order can require several labels, while a purchased label that was voided may generate a later credit.
Carrier invoice dates may fall after the shipment date. For a management cohort review, assign costs to the relevant shipments where the evidence supports it and distinguish estimated charges from final billed amounts. The accounting owner should separately approve any month-end accrual needed in the ledger.
Calculate a useful per-order result
In an illustrative group of 100 fulfilled orders, customers pay $500 for shipping. Carrier labels cost $650, packing costs $100, and warehouse handling costs $150. The defined fulfillment cost is $900, leaving a $400 shortfall, or $4 per order, before any other excluded costs.
Break the result down by destination, product weight, basket size, and service level where those differences are meaningful. A store-wide average can hide a particular heavy product or remote destination that consistently costs more than its shipping charge. Avoid creating tiny segments with too few orders to support a decision.
Update the offer using the final invoice
Compare provisional label prices with final carrier bills, including surcharges and credits. Investigate systematic differences before adjusting the checkout rate. An address-quality problem or avoidable split shipment may be cheaper to fix than increasing every customer's shipping fee.
When testing a free-shipping threshold, include the effect on merchandise contribution and basket composition. Record the rule, eligible regions, and review period. Reconcile the result after late charges and returns arrive so the decision reflects completed fulfillment rather than the first label purchase.
