Keep one order and several payment records
A single order can be paid with a card and an existing gift balance, two cards, or a deposit followed by another payment. Preserve the order total and every payment reference. The number of payment records should not determine how many sales entries are created.
Identify what each tender represents. Redeeming a previously sold gift balance differs from receiving new card proceeds today. A promotional discount is different again. Have the accountant approve the treatment of stored value and promotions instead of mapping every non-card amount to cash.
Prove that the payments explain the balance
Suppose an illustrative $120 order is settled with a $30 existing gift balance and a $90 card payment. The order is fully paid when the two authorized payment components total $120. Only the $90 card component belongs in the processor settlement, before fees and other adjustments.
Compare order-level payment status with the sum of captured payments, applied balances, and genuine amounts still due. An authorization that was never captured should not be treated as collected money. Check the platform's status definitions and preserve canceled or reversed attempts without adding them to the settled total.
Apply refunds to the actual tender history
For a partial return, record the approved refund amount and the payment method or balance to which each portion is returned. Follow the platform's rules and the business's lawful refund policy. Do not assume every platform divides a partial refund proportionally across the original tenders.
Stripe refunds return to the original payment method for the charge. That constraint matters when a customer requests a different card or bank account. Keep support communications aligned with the processor's actual workflow and use an approved, verified exception process where one is genuinely needed.
Reconcile the remaining order and stored-value balances
After a refund, check the order's net amount, successful refunds, card settlement movements, and any restored gift balance. A $20 restoration of stored value should not also appear as a $20 bank outflow. Similarly, a pending card refund should remain identifiable until its status is resolved.
At close, review orders where the net payments do not explain the net order balance. Group the exceptions by missing capture, duplicate import, refund timing, and stored-value mapping. Correct the responsible posting path rather than clearing all differences to a miscellaneous account.
