One order ships in stages: match each capture to the goods released

Build an order-level schedule for partial shipments, payment captures and remaining authorizations without confusing a delivery with a bank deposit.

Give every shipment a place in the order record

A partially shipped order needs a schedule showing what was ordered, what left the warehouse and what remains. Add capture references alongside the shipment references. This allows finance to distinguish an unshipped balance from a shipment whose payment was missed. Keep the order total intact while showing its components; creating a new full order for every box can inflate sales and customer demand.

Shopify documents several capture methods and limits automatic capture per fulfillment to its Plus plan. Payment methods and providers can behave differently. Confirm the actual configuration before expecting every dispatch to trigger a matching collection. A store setting, fulfillment app and processor must be assessed together when the team designs this control.

Allocate the amount using the commercial terms

Decide how item discounts, delivery charges and other order amounts belong to each release. Use the agreed order calculation and the platform's supported allocation, then check the total. A shipment representing half the units may carry a very different share of the order value when the products have different prices. Keep any rounding difference attached to the final release.

Suppose a hypothetical order contains a $120 item and an $80 item, with $10 delivery and no other amounts. If the approved method assigns the delivery charge to the first shipment, the planned captures are $130 and $80, totaling $210. This is an illustration of one allocation, not a universal capture rule. The accountant must separately assess when the related revenue and product cost belong in the books.

Record changes to the allocation when a backordered item is canceled or substituted. Otherwise, the team can capture the original final balance after agreeing to a cheaper replacement. Link that change to the customer's approval.

Review uncaptured shipments before authorizations expire

Compare shipped lines with successful captures each day that split orders are active. Distinguish a capture submitted from one confirmed by the provider. Flag a shipment with no collection reference, an authorization nearing its actual expiry and a capture amount above the remaining permitted balance. Assign each exception to someone who can verify the order and payment status.

Do not assume a later shipment can use the original authorization indefinitely. Obtain the relevant deadline and available collection options from the provider. If a new customer action is required, coordinate it through the approved payment flow. Customer service should know the remaining amount and the reason for the request before contacting the buyer.

Finish with the residual amount and quantity

At order completion, total successful captures less completed refunds and compare that amount with the final commercial order. Reconcile shipped, canceled and still-open quantities separately. A zero customer balance can coexist with an unshipped item, and a fully shipped order can retain an unpaid balance. Both exceptions require a decision before the order is treated as finished.

Match the captures to settlement detail only after the order schedule agrees. Several captures can arrive in different payouts, and a payout can include many unrelated orders. Preserve the individual references through the accounting import. At month end, provide the reviewer with unfinished split orders and their next expected event, particularly where shipment, capture and bank receipt fall in different periods.
