Treat the message as a record discrepancy
An SSA name or Social Security number mismatch calls for a careful comparison of records. It does not establish that wages were incorrect or that an employee lacks work authorization. SSA expressly says the verification result makes no statement about immigration status and is not, by itself, a basis for adverse employment action.
Assign the case to someone authorized to handle employee data. Record the date, source of the mismatch, employee reference and reporting year without putting the full number into an ordinary task title or email subject. Keep the underlying notice or verification result in the restricted payroll record.
Confirm which process produced the message. A failed verification before filing, a rejected wage submission and a discrepancy discovered after an accepted W-2 are different stages. The action needed depends on whether the incorrect information has already reached SSA.

Compare the submission with the company's source record
Look for transposed digits, omitted characters, a surname in the wrong field or an accidental nickname. Compare the actual submitted record with the employee information held by the company. Do not assume that the profile displayed today matches the file transmitted earlier.
If the employer entered the information incorrectly, correct the source record and resubmit through the applicable process. Keep a brief explanation identifying the field that changed. Avoid copying the entire identity document into multiple systems merely to demonstrate that a typing mistake was fixed.
When company records agree with the submission, ask the employee to compare those details with their Social Security card through the approved secure channel. Explain the precise discrepancy and the information requested. Apply the same procedure consistently instead of demanding additional documents from selected workers.

Follow the employee's verified correction
SSA instructs employers to ask the employee to contact SSA when the employment record and Social Security card agree but verification still fails. Document the request and subsequent response. An unresolved case should retain an owner and follow-up date, particularly when the employee has left the company.
Avoid guessing a replacement number or silently deleting the employee from the wage submission. Wages already paid remain part of the employer's reporting obligations. Ask the payroll specialist how to meet filing requirements while the identity issue is being resolved, using the current instructions for the situation.
For a hypothetical employee whose surname changed after marriage, preserve the old reported name and the verified new information separately. The administrative sequence matters: a legal name change, an SSA record update and a payroll profile update may occur on different dates. Record which evidence supports the change being made.

Correct filed statements and prevent the mismatch returning
If the wrong name or number was already reported on Form W-2, SSA directs the employer to submit Form W-2c. Use the latest applicable instructions and retain both the previously reported and corrected information. A change to identity fields does not automatically justify changing wage or tax amounts.
Confirm that the correction reached all relevant payroll records, including a former provider's reporting file when that provider filed the original statement. Ask who will furnish the employee copy and retain the submission result. Updating only the current employee profile can leave the historical filing untouched.
Close the case when the requested record correction is completed and the evidence is accessible to authorized payroll staff. Keep any unresolved agency response separate from the completed internal update. Before the next wage filing, check that a scheduled import will not overwrite the corrected name with an older personnel-system value.
